About the role Our Clinic is seeking an experienced Admin Executive to join our team in our Mont Kiara, Kuala Lumpur office. In this full-time role, you will be responsible for providing comprehensive administrative support to ensure the smooth running of our operations. What you'll be doing Job Scope: Morning Routine: Turn on lights, TV, and clinic equipment. Clean and stock the snack and beverage area. Prepare and send invoices to the accounting team. Confirm daily appointments with clients via phone, message, or WhatsApp. Update blood test reports in the Kumo system. Send post-care texts to patients from the previous day. Clinic Preparation: Review and send appointment reminders Ensure cleanliness of the reception and treatment rooms. Organize the front desk and snack area. Patient Reception: Greet clients and assist with registration. Offer drinks or snacks while clients wait. Check vital signs and assist with In Body tests. Notify the beauty consultant and doctor upon registration completion. Assist new patients with registration and document photocopying. Create client files for package subscribers. Communication: Respond to customer inquiries Send requested medical reports or receipts the same day. Confirm appointments and send reminders to upcoming clients. Provide post-care instructions and schedule follow-up appointments. Daily Operations: Manage patient flow and minimize wait times. Finalize payment and treatment details in the Kumo system by day-end. Documentation and Payments: Organize and securely store patient documents. Ensure invoices are created and submitted End-of-Day Responsibilities: Clean and organize the reception area for the next day. Send post-care and follow-up texts to patients seen that day. Ensure all equipment is turned off. Miscellaneous: Respond to management emails Maintain a proactive approach to minimizing patient complaints.
