Recruitment -Actively participate in recruitment activities such as job fairs and open evenings. -Support the documentation process for recruitment and selection of both internal and external positions. This includes drafting job descriptions and personnel specifications, posting advertisements, coordinating with agencies, and scheduling interviews -Assist in preparing contractual documents for new hires and collaborate with relevant parties to facilitate a smooth onboarding experience. -Generate documentation for any contract variations. -Maintain and update recruitment and selection trackers Employee Relation -Foster positive employee relations to enhance morale and motivation, ensuring consistent and fair management of all employees. -Offer guidance in response to inquiries via phone, email, written communication, and in-person visits to the HR office. -Support the HR department with documentation related to grievances, disciplinary actions, and other performance-related issues. -Assist in preparing documentation for employment relations cases. -Ensure compliance with best practices and relevant legislation. Absence Management -Compile absence data for weekly, monthly, and ad-hoc reports, and develop compliance reports to monitor return-to-work processes. -Track short-term absences across the organization in accordance with the Absence and Timekeeping policy, generating trigger absence reports as needed. -Ensure all spreadsheets and HR systems are current and accurate. -Coordinate Occupational Health appointments with external providers and follow up on their recommendations with Line Managers and the Health and Safety Department. -Assist in managing employee relations cases related to sickness absence. Training -Assist in designing and delivering development workshops focused on HR best practices to enhance the knowledge and skills of employees and the management team. -Maintain and update the skills matrix, identifying any areas of concern. -Collaborate with managers to complete the skills matrix and aid in planning ongoing training for all employees. -Support the performance management documentation process. HRIS -Maintain employee records (both digital and physical) in compliance with data protection regulations. -Ensure that PAMS, the Employee Information Centre, the Time and Attendance system, and other relevant systems are updated accurately and promptly. -Prepare weekly, monthly, and ad-hoc reports, compiling statistical information to support managers in performance reviews and continuous improvement efforts (e.g., turnover, staff surveys, and absenteeism). -Gather payroll information, including changes to terms and conditions, new hires, leavers, and absences. -Assist in the timely and accurate preparation of statutory reports Other HR Duties -Support the development of employee engagement initiatives. -Lead and manage various HR projects aligned with HR objectives. -Assist in updating HR policies, systems, and procedures to reflect legislative changes and best practices. -Develop standard operating procedures for various HR tasks. -Ensure that Annual Appraisals, including Goals and Objectives documentation, are submitted by all staff. -Ensure that work complies with ISO 9001 standards.
