Key Duties and Responsibilities HUMAN RESOURCE & ADMIN. 3.1 Assist in coordinating and managing the overall provision of HR and Admin operation department 3.2 Responsible for day-to-day functioning of the Human Resources Department such as providing general administrative support to the department such as ensuring confidential and accurate documentations, generating reports, supporting payroll matters, maintaining proper office filling and records system and handle basic correspondences functions 3.3 Prepare staffing letters, contracts, maintain employees’ leave & HR database 3.4 Assist in managing of EPF, SOCSO, PCB, etc. 3.5 Handling the administrative function and correspondence relating to Company Corporate and human resources matters by inter alia: · Handling and preparation of company letters and correspondences. · Printing cheques more particularly relating to salary, EPF, Socso, PCB, etc. · Checking payments and deposits relating to wages/salary matters. · Verifying staff and sub-con commission/profit sharing for meals deductions, loss of tools, OT and other miscellaneous matters. · Following up on renewal of Company insurance, car insurance, road tax, inspection. · Liaising with Municipal councils, government and statutory bodies for the application and renewal of company licenses, Trading licenses and other government and statutory requirement. 3.6 Overseeing all activities of the mailroom including receipt, sorting and distribution of incoming mail and preparation of outgoing mail. Delivering mails and internal correspondence within the organization. 3.7 Performing daily monitoring of correspondence, events, fazes, and dispatch/running services to ensure smooth operation of the organization 3.8 Assist in developing of standard operation procedure and employment policies and procedure in accordance with company culture while ensuring their legal compliance 3.9 Liaise with government bodies in renewal of company/branches registration etc. 3.10 Conduct company’s agendas/functions such as family day, annual dinner, training, services and other activities 3.11 Consolidate HQ and branches motor vehicles insurance and hire purchase 3.12 Assumes the duties of subordinate personnel/s when necessary.
