Job Summary: We are seeking a highly proactive, driven, and detail-oriented Personal Assistant to provide dedicated support to the Managing Director of the company. The role requires efficient coordination with department heads to stay updated on day-to-day activities, challenges, and progress, and to keep the Managing Director informed of all key developments. The ideal candidate should be able to manage multiple tasks in a fast-paced and high-pressure environment.
Key Responsibilities:
- Manage the Managing Director’s calendar, ensuring all appointments, meetings, and deadlines are well-coordinated and prioritized.
- Collect daily updates from department heads and prepare summaries of operational activities, challenges, and key developments.
- Track and report progress of ongoing tasks and ensure the Managing Director is up-to-date on all relevant information.
- Handle correspondence (emails, phone calls) on behalf of the Managing Director and ensure timely responses to urgent matters.
- Prepare reports, presentations, and meeting minutes for management review.
- Assist in organizing business travel, accommodation, and other logistics.
- Liaise with internal teams to ensure effective communication and follow-up on action points from meetings.
- Manage ad-hoc tasks and special projects as assigned by the Managing Director.
Qualifications and Skills:
- 1-2 years' experience in a similar Personal Assistant or Executive Assistant role.
- Experience in the oil and gas industry is an added advantage, or from an industry where handling multiple tasks in a fast-paced environment is crucial.
- Proactive, organized, and able to prioritize multiple tasks while working under pressure.
- Strong verbal and written communication skills with the ability to prepare concise summaries and reports.
- Excellent time management and organizational abilities.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
- Strong interpersonal skills to work effectively with department heads and manage communications efficiently.
Preferred Qualifications:
- Experience in fast-paced, high-pressure industries like oil & gas, construction, or manpower supply.
- Ability to handle multiple tasks simultaneously with attention to detail.
Education:
- Minimum Degree in Business Administration, Management, or a related field.
