1. Administration Management

  • Establishing proper administrative procedure to control the stationery item, printed forms and monthly maintenance for office equipment.
  • Monitoring and ensuring all licenses are in safely kept, strictly controlled and ready for checking by the authorities.
  • Training all the Department Heads on incident handling procedures. All Supervisory level and above must be able to establish incident/ insurance report within 24 hours from the incident happened.
  • Checking the pest control program by ensuring the Housekeeping Executive follows the pest control contractor during their monthly pest control program and evaluating the effectiveness of the contractors after completed the job.
  • Carrying out the opening or closing of Mall by activating the security alarm system and check the security alarm system reports to verify the condition and prepare countermeasures if necessary.
  • Attending handover/ takeover lot from tenants to AEON, vice versa.
  • Ensuring internal and external buildings are in good condition and well maintenance. Any defect should be forward and liaise with Facility Management Department for further rectification and action.
  • Frequent checking of the building cleaning to ensure the contractor maintain and complying with the contract terms.

2. Legal & Landlord Management

  • Landlord Management: Understanding, executing and complying the content Of Tenancy Agreement/ Lease Agreement between Landlord and AEON. Understanding the Rights and Liability
  • Developing close communication with Landlord on daily operational problems, crisis management and any upcoming Mall events

3. Financial Management

  • Analyzing & understanding the Mall Profit & Loss statement and achieving the monthly budgetfigures,ageing management by analyzing and sending out reminders and do immediate actions to clear the outstanding figures.Understanding the management and tenants’ rights in the Tenancy Agreement
  • Monitoring the accounting procedure, format, recording and bank-in process.
  • Monitoring the issuance of Letter of Offer, invoicing and bankers cheques collection from the temporary promotional space rental must be on time
  • Monitoring and must ensure all the PISR must be submitted to HQ Finance on time and amount that spend must be the within the budget allocation and if exceed, with clear justification.
  • Check PO submitted by Department Head. Ensure necessary documents like R&P or any quotations are attached before submission to the Asst. Operation Manager / Operation Manager / Mall Manager for the approval.
  • Adhering to the monthly report datelines to HQ Mall Ops Department.

4. Human Resource Management

  • Verifying overtime and other allowances claim.
  • Evaluating all disciplinary reports by the Department Heads thorough checking with HQ- HR, further investigations among staffs and conducting counseling session and taking necessary action for problematic staff.
  • Coordinating and carrying out selected training to all staff especially those involving local authorities such as Bomba, Police, First Aid and criminal prevention training.
  • Attending Operation Meeting and updating to the Asst. Operation Manager / Operation Manager / Mall Manager on the meeting content.
  • And be Proxy of the Asst Operation Manager / Operation Manager / Mall Manager to attend any company important meeting (During their urgent absenteeism).

5. Security Management

  • Ensuring the proper security of the whole Mall (Security and Safety of customers, tenants, staffs and properties).
  • Attending the daily security briefing, updating the latest company/ management news general checking of the attire and motivating the team.
  • Checking and approving the working schedule of Security Dept.
  • Identifying the number of security required (Day and night duty) at all strategic locations/ check points (Common area and car park).
  • Coordinating and joint planning with Security Head to determine risk area inside and outside the Mall area.
  • Monitoring the Blue Waves opening, closing and night duty report by identifying the problem areas, this required immediate actions/ countermeasures.
  • Checking through the daily report books recorded by Supervisors and night duty and take action against any incidents reported if necessary.
  • Developing a good relationship with local authorities such as Police, Bomba, Majlis Perbandaran etc.
