Position Overview:
The Procurement and Inventory Executive plays a critical role in ensuring the efficient procurement of materials and the effective management of inventory to support our production processes and meet customer demands. This position requires a strategic thinker with strong analytical skills, negotiation abilities, and attention to detail to optimize costs, maintain quality standards, and minimize supply chain risks.

Probation Period:
The first three months at RM2,500 per month.
After Probation:
RM3,000 per month.

Key Responsibilities:
Procurement Management:
- Source and procure raw materials, packaging materials, equipment, and services necessary for production operations.
- Identify and evaluate potential suppliers, negotiate contracts, and establish favorable terms and conditions to optimize costs and quality.
- Monitor market trends, supplier performance, and industry developments to make informed procurement decisions.
- Collaborate with internal stakeholders to assess procurement needs and develop strategies aligned with business objectives.
- Manage the procurement process from requisition to purchase order issuance, receipt of goods, and payment processing.
- Resolve supplier issues and address any delivery delays, quality concerns, or contract disputes promptly and effectively.
- Develop and maintain a supplier database, ensuring accurate records of supplier performance and contract details.
Inventory Management:
- Oversee inventory levels within our facilities, including raw materials, work-in-progress, and finished goods, to ensure adequate stock availability.
- Develop and implement inventory control policies and procedures to optimize inventory levels and minimize stockouts and excess inventory.
- Utilize inventory management software/systems to track inventory movement, monitor stock levels, and generate reports for analysis.
- Conduct regular inventory audits and cycle counts within the facilities to identify discrepancies and implement corrective actions.
- Coordinate with production and logistics teams to manage inventory flow and optimize storage space within the facilities.
- Analyze inventory data and performance metrics to identify trends, opportunities for improvement, and cost-saving initiatives.
- Develop and maintain a forecasting system to predict future inventory needs based on sales trends and production schedules.
Supplier Relationship Management:
- Build and maintain strong relationships with key suppliers.
- Conduct supplier performance evaluations and address any issues or concerns.
- Ensure compliance with supplier agreements and company standards.
Cost Management:
- Identify cost-saving opportunities and implement strategies to reduce procurement costs.
- Monitor and analyze procurement and inventory data to identify areas for improvement.
- Prepare and present cost analysis reports to management.
Compliance and Documentation:
- Ensure compliance with company policies, industry regulations, and quality standards.
- Maintain accurate and up-to-date procurement and inventory records.
- Prepare reports and documentation for audits and inspections.
Employee Relations:
- Support HR initiatives aimed at improving employee relations and workplace culture.
- Assist in organizing employee engagement activities and events.
- Help manage employee performance review processes and track employee progress.
Qualifications:
- Bachelor's degree in supply chain management, business administration, or a related field.
- Proven experience in procurement and inventory management roles within the food manufacturing industry.
- Strong negotiation skills and ability to build and maintain effective supplier relationships.
- Proficiency in inventory management software/systems and Microsoft Office Suite.
- Excellent analytical skills and attention to detail.
- Effective communication and interpersonal skills.
- Ability to work independently and collaboratively in a fast-paced environment.
- Knowledge of relevant regulations and compliance requirements in the food industry.
- Strong problem-solving skills and ability to handle confidential information with discretion.
