Position Description

Execute reminder call to customer, call all the long-lost customer, assist service advisor during peak hours and support management in task

Daily Deliverables

  • Acts as the first level of support to all Service customers. Greet and welcome customers immediately in a courteous manner.
  • Validate and update customer information in the system.
  • Performs vehicle inspection and walk-around check with the customer.
  • Listen to customer requests and concerns, upsell products and services and prepare repair order. Analyze and review vehicle service history.
  • Explains servicing details to customers including estimate time of completion, payment mode available and cost estimates.
  • Review repair orders and technician write up and effectively communicate with customers regarding services recommended and performed.
  • Perform encoding of labor and other miscellaneous charges in the system, checking of parts issued and coordinating with the Service Admin for billing and closing of repair order.
  • Check of vehicle cleanliness before releasing to customer.
  • Explains services performed and remind customer on the date of next visit. Assist on payment and releasing of vehicle.
  • Perform reminder call to customers. Call long-lost customer to make a service appointment.

Weekly Deliverables

  • Assist in the appraisal of repair work coming into the Service Department.
  • Escalate and coordinate potential customer complaint to Service Head and assist on the resolution.
  • Monitor the status of general job repairs and ensure proper coordination with internal departments (Technician, Parts, Service Admin and Service Head)
  • Review of parts arrived monitoring and provide feedback to customer.
  • Review of open repair orders and discuss the status of repair with the Service Head.
  • Ensure customer fill the survey form during the car collection.
  • Ensure there is no Recall Campaign was missed and provide the justification for not perform the campaign.
  • Attend and participate actively on group meetings, clarify and raise issues as needed.
  • File and organize closed repair orders and service invoices.
  • Coordinate with customer service department with regards to feedback received from customers.

Monthly Deliverables

  • Review with supervisor all noted customer issues and concerns and work to resolve and avoid repeat of concerns.
  • Demonstrate an interest in growing the dealerships business.
  • Recommend improvement on service operation work process.
  • Develop as many solution methods as possible, attempting to keep costs reasonable for customers
  • Help improve brand awareness and social media presence by posting/sharing advertisements online to increase connections / network.
  • Liaise with executive and senior administrative assistants to handle requests and queries from another department.
  • Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.
  • Implement clerical duties and administrative processes.
  • Develop and maintain a filing system.
  • Supporting management and staff with any necessary administrative tasks.

Job Types: Full-time, Internship

Pay: RM500.00 per month
