Operations Assistant Job Purpose To assist in the day-to-day operations of the organization, providing administrative support, coordinating resources, and maintaining efficient workflows. The Operations Assistant plays a crucial role in ensuring that operations run smoothly and effectively. Key Responsibilities Administrative Support Handle routine administrative tasks, including data entry, filing, and maintaining records. Assist with scheduling meetings, appointments, and travel arrangements for the operations team. Manage and update databases, spreadsheets, and other digital tools to ensure accurate record-keeping. Inventory and Stock Management Assist in monitoring inventory levels and coordinating the replenishment of supplies. Perform regular stock checks to prevent shortages or excess inventory. Work with suppliers to arrange deliveries and ensure timely restocking. Logistics and Coordination Support the logistics team in arranging shipments, tracking orders, and coordinating deliveries. Ensure that all logistical needs are met, including packaging, labeling, and distribution. Collaborate with team members to optimize logistics processes and reduce delays. Customer Service and Issue Resolution Handle basic customer inquiries and provide information on orders, deliveries, or inventory. Assist in resolving minor operational issues and escalating complex issues to the Operations Executive or Manager. Maintain positive relationships with clients, suppliers, and stakeholders. Reporting and Documentation Prepare daily or weekly reports on operational activities, including inventory, deliveries, and workflow updates. Assist in documenting processes, updating procedural manuals, and maintaining accurate operational records. Compile data and generate reports for review by the operations team. Compliance and Safety Ensure compliance with organizational policies and health and safety regulations. Perform routine safety checks and report any issues or hazards to management. Assist in maintaining a clean and organized workspace.
