Job Descriptions:

  • Provide comprehensive administrative support to the Executive Director, including managing schedules, organizing meetings, and handling correspondence to ensure the ED’s time is optimized.
  • Proactively remind the Executive Director of important tasks and deadlines to ensure timely execution.
  • Acting as a point of contact between the Executive Director and internal/eternal stakeholders, facilitating clear communication.
  • Assisting with project coordination, tracking progress and ensuring deadlines are met.
  • Conducting research and preparing reports or presentations to support decision making.
  • Maintain confidentiality and handle sensitive information with discretion and professionalism.
  • Prepare meeting agendas, take accurate meeting minutes, and ensure all relevant materials are prepared in advance of meetings.
  • Ensure all internal and external documents are managed efficiently and recorded properly.
  • Arranging travel logistics and itineraries for the Executive Director.
  • Organize meetings and corporate events.

Job Requirements:

  • At least Bachelor’s degree preferred in Business Administration, Communications, or a related field.
  • Minimum of 8 years of experience as an Executive Assistant, preferably supporting C-suite executives
  • Experiences in financial / insurance industry.
  • Proven experience as a Personal Assistant or Executive Assistant, preferably in a corporate setting.
  • Skills, Knowledge and Attributes
  • Strong organizational and multitasking skills, with the ability to prioritize tasks efficiently.
  • Excellent written and verbal communication skills in English.
  • High level of discretion and confidentiality when handling sensitive information.
  • Strong attention to detail and accuracy in work, especially in preparing documents and reports.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other office productivity tools.
  • Ability to work independently and anticipate the needs of the Executive Director.
  • Flexible and adaptable, with a willingness to respond to urgent matters outside normal working hours, including weekends and public holidays.
  • Excellent interpersonal skills, with the ability to build and maintain relationships with internal and external stakeholders.
  • A proactive, problem-solving attitude and the ability to thrive in a fast-paced environment.
