Job Descriptions:
- Provide comprehensive administrative support to the Executive Director, including managing schedules, organizing meetings, and handling correspondence to ensure the ED’s time is optimized.
- Proactively remind the Executive Director of important tasks and deadlines to ensure timely execution.
- Acting as a point of contact between the Executive Director and internal/eternal stakeholders, facilitating clear communication.
- Assisting with project coordination, tracking progress and ensuring deadlines are met.
- Conducting research and preparing reports or presentations to support decision making.
- Maintain confidentiality and handle sensitive information with discretion and professionalism.
- Prepare meeting agendas, take accurate meeting minutes, and ensure all relevant materials are prepared in advance of meetings.
- Ensure all internal and external documents are managed efficiently and recorded properly.
- Arranging travel logistics and itineraries for the Executive Director.
- Organize meetings and corporate events.
Job Requirements:
- At least Bachelor’s degree preferred in Business Administration, Communications, or a related field.
- Minimum of 8 years of experience as an Executive Assistant, preferably supporting C-suite executives
- Experiences in financial / insurance industry.
- Proven experience as a Personal Assistant or Executive Assistant, preferably in a corporate setting.
- Skills, Knowledge and Attributes
- Strong organizational and multitasking skills, with the ability to prioritize tasks efficiently.
- Excellent written and verbal communication skills in English.
- High level of discretion and confidentiality when handling sensitive information.
- Strong attention to detail and accuracy in work, especially in preparing documents and reports.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other office productivity tools.
- Ability to work independently and anticipate the needs of the Executive Director.
- Flexible and adaptable, with a willingness to respond to urgent matters outside normal working hours, including weekends and public holidays.
- Excellent interpersonal skills, with the ability to build and maintain relationships with internal and external stakeholders.
- A proactive, problem-solving attitude and the ability to thrive in a fast-paced environment.
