Job title : Document Controller
Job description :
Document Controller shall be responsible for organising, electronic filing and transmission / receiving of documents. The candidate is expected to also be responsible in assisting file migrations and audits.
1. Establish, implement and maintain an efficient project-related document control register, database and hard copy filing system
2. Manage the documentation flow within the organization effectively by ensuring all company documents are registered on time and correctly in compliance with project document formats and requirements
3. Plan and record documents flow to and from all necessary parties, including internal departments, clients, etc
4. Organize an effective filing system physically and digitally for company documents
5. Record issues and track location of control documents
6. Develop and maintain documentation systems: Create and manage both hard copy and digital documentation systems to ensure all records are organized and easily accessible, using a sequential numbering system to maintain order and efficiency
7. Regularly review and update documents, to ensure they are current and accurate
8. Retrieve files promptly as requested, ensuring quick access to necessary information
9. Oversee the flow of documentation within the organization to ensure smooth and efficient operations
10. Safeguard sensitive information and terms of agreements, maintaining strict confidentiality
11. Generate ad-hoc reports and analytics on documents as needed to support decision-making and project management
12. Any other assignments as assigned from time to time
Requirements :
1. Minimum Five (5) years of working experience in document management, records management, or a related field.
2. Minimum of Diploma Holder Business Discipline or equivalent.
3. Basic computer literacy eg: Microsoft Words, Microsoft Excel, Microsoft Powerpoint, Sharepoint.
4. Proven work experience as a Document Controller or in a similar role
5. Attention to detail to maintain high standards of accuracy and quality in all documentation
6. Have experience with online document management system.
7. Good communication and interpersonal skills.
Job Types: Full-time, Permanent
Pay: RM2,500.00 - RM3,500.00 per month
