Client Liaison
- Serve as the primary point of contact for clients to understand their event requirements, objectives, and expectations.
- Maintain strong, ongoing relationships with clients, ensuring their needs are met throughout the event lifecycle.
- Present event proposals and progress reports to clients and gather feedback to refine event plans.
Event Planning & Coordination
- Lead the planning and execution of events including conferences, corporate meetings, product launches, tradeshows, and social events.
- Develop and manage event timelines, production schedules, and action plans.
- Source and liaise with vendors (venues, caterers, AV providers, entertainers, etc.) and negotiate contracts.
Budget Management
- Develop event budgets in collaboration with clients and internal teams.
- Track expenses and ensure all events are delivered within the agreed budget without compromising quality.
- Provide financial reports post-event, detailing expenses, ROI, and future recommendations.
On-Site Event Management
- Oversee all on-site event details, including logistics, setup, vendor coordination, and troubleshooting.
- Ensure all health and safety regulations are adhered to during events.
- Manage post-event breakdown and closure, ensuring a smooth experience for all involved parties.
Team Collaboration
- Work closely with internal teams such as creative, marketing, logistics, and operations to ensure the event meets the client’s vision.
- Assign responsibilities and delegate tasks to team members or external vendors when necessary.
- Provide leadership and guidance to junior staff, interns, or temporary event staff.
Post-Event Follow-up
- Conduct post-event evaluations with clients to determine success and areas for improvement.
- Prepare event wrap-up reports and client satisfaction surveys.
- Foster long-term relationships to secure repeat business or referrals.
- Bachelor’s degree in Event Management, Marketing, Communications, Business, or a related field.
- Minimum 2-3 years of experience in event management, client servicing, or a similar role.
- Strong project management skills, with the ability to manage multiple events simultaneously.
- Excellent client-facing and internal communication skills.
- Proficiency in event management software and CRM tools.
- Ability to work under pressure and meet tight deadlines.
- Flexibility to work evenings, weekends, and travel for on-site event management as required.
