• To assist Human Resource & Admin Manager to supervise the Human Resource & Admin spectrum and ensure on going compliance with related policies, regulations and statutory. • Interview and coordination of new application for employment. Coordinate with respective people in scheduling interviews and assist in new staff on boarding programmed (e.g. preparing orientation, access card, register thumb print and etc). • Prepare Human Resource related documents, such as appointment letter, confirmation letter, increment letter, salary review letter, transfer letter, resignation letter, absconded letter and so forth. • Prepare the discipline letter and update into record. • Provide advice and counselling to staff in regards to Human Resource and Admin practices, policies and regulations. • Responsible for staff insurance claim, including Personal Accident, Hospitalization and SOCSO. Liaise with related agency or government bodies for the claim matter. • Check and verify Daily Attendance, Overtime, Leave, Schedule Amendment, Replacement Leave Form, Gate Pass and so forth and to ensure that all the data update into the Human Resource Management system in timely. • Assist Human Resource & Admin Manager to execute training related matters, including liaise with the related training provider, Human Resource Development Fund grant application and claims, maintain accurate records of training courses, evaluation forms, certificates and so forth. • Conduct induction training to new comers. • Resignee management, including conduct exit interviews, liaise and prepare related documents for submission Income Tax department for applying Tax Clearance Letter. • Process advance, and end-month payroll for both internal staff and external service providers. • Update employee personal records into server and payroll system and maintenance of personal files. • Update and maintain documentations to ensure compliance of ISO 9001:2015, including distribute, collect, update and file the training related forms, certificate and update the training hours into the system. • Hostel Management, including liaise with the owner, agent, vendor and staff for the maintenance, renewal, inspection, hand over and termination issues. • Foreign worker management, including dealing with the agent on worker’s permit renewal, hostel, and disciplinary, safety and other work related issues. Liaise with relevant government statutory bodies and prepare necessary information and documents required for submission to ensure all Human Resource & Admin practices are comply with relevant statutory regulations, law and employment standards. • Responsible for setting and monitoring the door access performance (E-Win System). Liaise with vendor for any defects for both hardware and software. • Monitor the maturity date of the contract and agreements (e.g. security, cleaning, landscaping, water dispenser, hostel, waste collection, telecommunication and etc.). Liaise with the external service providers on maintenance, renewal, termination, improvement or service upgrade issues. • Monitor the work quality of external service providers to ensure the compliance of SOP and requirements, including cleaning, security, waste collection and landscaping. Provide training to the respective staff from external contractor when necessary. Liaise with the external service providers for any issues arise or improvement needed. • Monitor the service maintenance schedule of Company’s car and liaise with the workshop for routine maintenance service. • Verify the Company phone lines (Office and individual) usage. Investigate and liaise with individual user for any abnormal usage or over usage, compile the summary to Finance Department on monthly basis. • Company property management, including prepare the hand over listing, maintain the record, verify the conditions when returning from staff and etc. • Responsible for monitoring and controlling the inventory of office stationaries, refreshment and cleaning appliance. • Receive and distribute the incoming letter, document or parcel to the respective department/ person. • Assist for the preparation of Company’s event. • Register thumb print, prepare identification card for new join employee / replacement. • Coordinate the admin office maintenance issue with maintenance department. • Responsible for Company’s business license renewal. • Assist in applying visa, transport and flight arrangement, hotel booking for both internal staff and visitors. • Compile the courier service slip, verify the invoice before submission to Finance Department. • Undertake and execute all works in a safe manner by complying with relevant laws, regulations, procedures, protocols and codes of practice to safeguard for Safety, Health & Environment (SHE) of own self, other people and properties at workplace • Other ad-hoc tasks pertaining to Human Resource and Admin duties as required by the superior.
