Who You'll Work With

The Executive Assistant/Assistants Team Leader role is a dynamic player-coach role based in our Kuala Lumpur office. You will allocate approximately 50% of your capacity to providing executive assistant support, while dedicating the remaining time to supervising an executive assistant team.

Whether it’s managing a full calendar, scheduling meetings across various time zones, or arranging and coordinating complex travel logistics, you’ll apply your multitasking, organizational, and decision-making skills to fulfill critical administrative and logistical requests.
The Team Leader role involves monitoring service levels and fostering the development of individual staff members to ensure adequate coverage and the delivery of world-class service. The role includes coordinating backup and overflow coverage to maintain consistent service and quality during absences, unanticipated departures, and peak workloads. This includes spearheading or assisting in recruiting efforts to manage adequate staffing levels.
As a Team Leader, you will lead, motivate, and mentor executive assistants to enhance their effectiveness and overall job satisfaction. This includes conducting timely and thorough performance evaluations for team members by gathering, summarizing, and delivering feedback.
You will also oversee routine administrative duties such as monitoring absences, reviewing and approving timesheets, overtime, vacation, and sick time. Furthermore, you will assist the team Manager with the development and implementation of strategic initiatives to enhance team performance and service delivery.

Your qualifications and skills

  • 5+ years of administrative experience
  • 3+ years of supervisory experience in a professional environment
  • Strong knowledge of Windows and Notes applications, and a comfort with learning new technology
  • Critical thinking and strong problem-solving skills
  • Comfortable with ambiguity and change
  • Ability to communicate effectively, both verbally and in writing, in English as well as the local office language
