About the Job
The Project Coordinator oversees shipment processes, ensuring work orders are accurately registered and workflows are updated in the system. Responsibilities include identifying custom tariff codes, preparing shipping documents, coordinating with customs, transport, warehouse, and shipping agents, and arranging services like fumigation or packing. They liaise with clients, verify supplier invoices, handle payment requests, and ensure timely billing. The role also involves monitoring compliance with regulations, preparing certificates (e.g., COO, Form A/E), managing Bills of Lading, and training new staff to ensure smooth and efficient operations.
Job Responsibilities
- Ensure the correct job scope for each shipment / work order is properly registered to the system.
- Responsible for identifying custom tariff code, updating the system on each job work flow, do billing & costing, submit jobs for closing once job completed.
- Responsible for liaising with Admin dept on D/O collection.
- Ensure that the jobs are carried out efficiently through close monitoring and follow up with the Custom clearance section, Loading Section, Haulage Section, general transport, warehouse section and Shipping Agent.
- Responsible for preparing operation outlays’ payment requests, preparing PO when necessary, verifying suppliers’ invoices & follow up with transport team or vendor on delivery orders.
- Shall maintain ongoing communication and correspondence and provide necessary feedback and status to clients.
- Liaise with Shipping Agents on Bill of Lading
- To monitor custom EDI declaration
- Responsible for transport arrangement
- Ensure the documents for L/C shipment as per requirement
- To arrange fumigations/packing/DG cargo on behalf of shippers.
- To prepare and check shipping certificates, e.g. GSP, Textile COO, MICCI, FMM, Form A, Form D, Form E, B/L, Black List cert & etc.
- Responsible for billing on times
- Senior shall responsible to train the new staff
Qualifications & Requirements
- Diploma, Advance Diploma, or Degree and above in Logistic & Supply Chain Management or equivalent.
- More than 2-3 years of work experience related to heavy duty freight forwarding industry.
- Good in Mandarin proficiency, capable of reading and writing.
- Ability to handle documents and, occasionally, assist with cargo inspections.
Job Types: Full-time, Permanent
Pay: RM3,000.00 - RM5,000.00 per month
