Job Description: As an Administrative Assistant at Dr Jane Clinic, you will play a crucial role in ensuring the smooth operation of our clinic. You will handle a variety of administrative tasks, support our team of professionals, and provide outstanding service to our clients. The ideal candidate will have strong organizational abilities, excellent communication skills, and a friendly demeanor. Key Responsibilities: Greet clients and visitors, ensuring they feel welcome and comfortable. Manage the clinic's administrative, including answering phone calls, responding to emails, and handling client inquiries. Schedule and confirm appointments, ensuring efficient use of the clinic’s calendar. Maintain accurate and organized client records, both digital and physical. Assist with billing and payment processing, including invoicing and managing insurance claims. Support the clinic's marketing efforts by assisting with social media posts, newsletters, and promotional materials. Order and maintain office supplies, ensuring the clinic is well-stocked and organized. Handle administrative tasks such as filing, data entry, and document preparation. Assist with the coordination of events, workshops, and training sessions. Perform other duties as assigned to support the overall function of the clinic. Qualifications: High school diploma or equivalent; additional qualifications in office administration or related fields are a plus. Proven experience as an administrative assistant or in a similar role. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office management software. Excellent verbal and written communication skills. Strong organizational and multitasking abilities. Attention to detail and a commitment to maintaining high standards of accuracy. Friendly and professional demeanor with a client-focused approach. Ability to work independently and as part of a team. Knowledge of the aesthetics or healthcare industry is an advantage.
