Job Summary: We are seeking a detail-oriented and responsible Office Admin to oversee the daily administrative operations of our office. The ideal candidate will manage office inventory, coordinate with external vendors, handle general office maintenance, and manage travel arrangements for staff. Additionally, this role requires driving duties for C-level executives, staff, and clients, as well as dispatching documents when necessary. Primary Responsibilities: 1) General Office Administration - Manage office inventory, pantry supplies, and office assets to ensure smooth daily operations. - Liaise with building management for compliance and ensure that all office procedures are adhered to. - Oversee company car management, including road tax renewal, repairs, and regular maintenance. - Coordinate with vendors for utilities, pest control, office repairs, and maintenance. - Handle bill payments, including utilities, company phone lines, internet, etc. - Manage travel arrangements for staff, including booking flight tickets, accommodation, and transportation. - Manage dispatch documents, handle courier services, and assist with various office errands as needed. 3) Document Controller - Print and distribute documents as needed - File Scan and upload documents according to company procedure (physical and digital) - Retrieve files (based on access rights) as requested by staff - Maintain flow of documentation within company - Review and update documents for maintenance and quality control - Keep other personnel updated on new document versions and how to obtain access - Handle records across various departments - Create templates for use by other personnel - Maintain confidentiality regarding sensitive documents - Establish and maintain record retention timelines Qualifications: - At least 1-2 years of relevant experience in office administration or a similar role. - Valid driver’s license and a clean driving record. - Strong organizational and time-management skills. - Ability to multitask and handle a range of administrative tasks efficiently. - Good communication skills and the ability to liaise with vendors and building management. - Preferably staying within Klang Valley or close to the office. - Able to travel & possess own transportation.
