Payroll Executive

Our company is looking for an organized, independent, and self-motivated Payroll Executive that will ensure the company's strategy is adhered to and carried out. The role also requires the candidate to bring in best practices in continuous improvement plans and activity into the organization.
A Payroll Executive is responsible for managing and overseeing the payroll process within an organization. This role ensures that employees are paid accurately and on time while adhering to all legal and company requirements.
Key Responsibilities:
1. Payroll Processing:
- Calculate and Process Payroll: Ensure accurate calculation of salaries, wages, bonuses, and deductions for all employees on a regular basis (e.g., weekly, bi-weekly, or monthly).
- Overtime and Leave Management: Manage overtime payments, bonuses, commissions, leave encashment, and other allowances.
- Final Settlements: Process employee terminations, resignations, retirements, and other separations, ensuring the final settlement is accurately calculated and paid.
2. Compliance with Tax and Legal Regulations:
- Tax Deductions: Ensure proper computation of statutory deductions such as income tax, provident fund (PF), social security, and other contributions in compliance with the country's tax laws.
- Report Tax Liabilities: Prepare and submit tax-related reports to relevant authorities within deadlines.
- Statutory Filings: File statutory returns such as payroll tax reports, employee benefit contributions, and other government-required documents.
3. Data Management:
- Maintain Payroll Records: Ensure all payroll data, including salary information, deductions, and employee details, are accurately maintained and updated in the system.
- Employee Queries: Address any employee inquiries related to payroll, benefits, and deductions.
4. System Management and Software Utilization:
- Payroll Software Management: Operate and manage payroll software or systems to process and track payroll.
- Automation of Processes: Implement automation for payroll processing, attendance tracking, and benefit management to streamline operations.
5. Reconciliation and Reporting:
- Payroll Reconciliation: Perform monthly reconciliation of payroll accounts, ensuring all deductions, reimbursements, and tax liabilities are correct.
- Reports Generation: Generate and prepare monthly or quarterly reports for management, finance, and HR, summarizing payroll data, tax liabilities, and compliance status.
6. Employee Benefits Administration:
- Benefits Tracking: Administer employee benefits such as insurance, pension schemes, and other incentives, ensuring proper deductions and eligibility.
- Benefits Enrollment: Facilitate employee enrollments in various benefit programs as per company policies.
7. Collaboration and Coordination:
- Work with HR and Finance: Collaborate closely with the HR department for data related to employee status changes (e.g., promotions, transfers) and the Finance department for budgeting and audit processes.
- Assist with Audits: Provide necessary documentation and reports during internal or external audits, ensuring compliance with legal and organizational standards.
8. Employee Record Management:
- Maintain Confidentiality: Ensure all payroll and employee-related information is kept confidential and handled securely.
- Update Personal Information: Track employee data changes (e.g., address, bank details) for accurate payroll processing.
9. Continuous Improvement:
- Stay Updated on Regulations: Stay informed about changes in tax laws, labor laws, and payroll-related regulations to ensure compliance.
- Process Improvements: Identify areas for process improvement in payroll management and contribute to the development of more efficient workflows.
10. Disbursement and Payment:
- Salary Disbursement: Ensure timely and accurate disbursement of salaries to employees via direct deposit, checks, or other approved methods.
- Bank Reconciliation: Coordinate with the banking team to ensure smooth transactions for salary payments.
Qualifications & Experience
- Qualification: Bachelor's degree in Accounting, Finance, Human Resources Management, Business Administration, or a related field.
- Experience: Typically, 1-3 years of experience in payroll administration, accounting, or HR roles is required. This experience can be in any industry but is particularly important in roles where you will be handling complex payroll processes or large teams.
Knowledge & Skills:
- Strong Knowledge of Payroll Software: Proficiency in using payroll software and systems.
- Understanding of Labor Laws and Taxation: Familiarity with local tax regulations, statutory deductions (e.g., income tax, provident fund, social security), and compliance requirements.
- Confidentiality and Integrity: Ability to handle sensitive information (e.g., salary details) with confidentiality and professionalism.
Job Types: Full-time, Contract
