The Project Coordinator will play a critical role in supporting the sales team by managing and coordinating various aspects of the project cycle. This includes generating Purchase Request (PR) numbers in the company’s accounting system, preparing quotations, and compiling all necessary supporting documentation. The Project Coordinator will also be responsible for estimating material requirements, manpower costs, and preparing work process flow proposals and HIRACC (Hazard Identification, Risk Assessment, and Risk Control) documents as required by customers.
Sales Support:
- Generate PR numbers in the company's accounting system.
- Develop and prepare quotation data using PowerPoint, incorporating customer details, job descriptions, photos with drawings, and logos for customer distribution.
- Prepare accurate and timely quotations and pro-forma Invoices based on information provided by the sales team.
- Measure and calculate the area involved to determine the material requirements for projects.
- Estimate manpower costs for project execution.
- Coordinate with the sales team to understand project requirements and deliverables.
Technical Support:
- Create drawings using Adobe Illustrator (AI) (training provided).
- Communicate with Sales Team for additional details and accuracy of quotations, drawings, items, and customer information.
- Quote prices for any items not provided by the Sales Team or assist them by offering prices based on a standardized price list.
- Review and discuss tender emails with the Superior for decision-making on proceeding or rejecting.
- Print out tender BQ (Bill of Quantities) for discussion with the Superior for measurement and price calculation.
Documentation and Compliance:
- Compile and prepare all necessary supporting documentation required for projects, including safety requirement documents.
- Develop detailed proposals of work process flows and HIRACC documents as requested by customers.
- Maintain meticulous records of drawings, measurements, and quotations for each project.
- Ensure all project documentation complies with company policies and customer requirements.
Continuous Improvement:
- Regularly review and refine processes for analyzing site inspection data and preparing quotations to increase efficiency and accuracy.
- Stay updated with the latest project management tools and software that can improve workflow and project outcomes.
- Diploma / Bachelor's Degree in Business Administration, Project Management, Engineering, or a related field.
- Preferable with 2-3 years experience in the sales or construction industry.
- Fresh graduate are welcome to apply.
- Ability to speak in English, Bahasa Malaysia & Mandarin.
- Ability to prepare detailed reports and documentation.
- Strong analytical skills and attention to detail.
- Understanding of project management principles and practices.
- Knowledge of HIRACC (Hazard Identification, Risk Assessment, and Risk Control) processes and documentation.
