HR Admin Executive Type: Permanent with 6 months’ probation period Mode: WFO during the 6 months’ probation period then will consider for hybrid mode Key Responsibilities: 1. Employment Pass & Immigration Handling: o Manage the full process of Employment Pass (EP) applications, renewals, cancellations, and transfers with relevant immigration authorities. o Coordinate with the Malaysia Digital Economy Corporation (MDEC) and other government agencies to facilitate the EP application process. o Continuously track, update, and communicate the status of EP applications, renewals, and approvals to the team and stakeholders. o Ensure all employee visa-related documents are up-to-date and compliant with immigration requirements. 2. Team Updates and Coordination: o Provide regular and detailed updates to the team on the status of EP and immigration matters, including deadlines and required actions. o Liaise with internal teams and stakeholders to gather necessary documents for immigration and PERKESO submissions. o Act as the central point of communication between the organization, government agencies, and employees for employment pass matters. 3. Compliance and Reporting: o Maintain accurate records and documentation for all PERKESO and immigration activities. o Prepare reports related to EP applications, approvals and renewals o Ensure strict adherence to Malaysian labor laws, immigration policies, and statutory regulations. Key Skills: • Comprehensive understanding of PERKESO processes and immigration laws. • Excellent communication skills for liaising with government agencies, internal teams, and employees. • Proficiency in tracking and managing employment pass applications through platforms like MDEC. • Attention to detail and organizational skills to handle multiple compliance tasks. • Ability to work under pressure and manage deadlines effectively. Qualifications: • Education: Bachelor’s degree in Human Resources, Business Administration, Law, or related field. A Master’s degree in a related discipline is a plus. • Experience: • Minimum 1+ years of experience in HR, with experiences in managing Employment Pass (EP) processes in Malaysia. • Demonstrated knowledge of Malaysian immigration laws and EP regulations. Skills and Competencies: • Proven expertise in managing Employment Pass (EP) and other work permits especially in Malaysia. • Exceptional leadership skills with the ability to manage complex processes and guide teams. • Excellent communication and interpersonal skills to interact with various stakeholders, including government agencies and expatriate employees. • High level of attention to detail, ensuring compliance with all immigration and legal requirements.
