Job Scope: Admin Executive

Key Responsibilities:
1. Documentation and Record-Keeping:
- Maintain accurate records of parking data, transactions, reports, and other administrative documents.
- Organize and file documents systematically for quick access and streamlined office functioning.
2. Customer Service:
- Handle inquiries, feedback, and complaints from users regarding parking services.
- Collaborate with relevant departments to resolve issues promptly and effectively.
3. Billing and Financial Administration:
- Ensure cash collected is counted, reconciled, and matches daily transaction reports.
- Process invoicing and maintain financial records with proper accounting practices.
4. Scheduling and Coordination:
- Organize staff schedules, shifts, and meetings for parking operations.
- Plan and coordinate appointments and projects for the Car Park Manager.
5. Inventory and Procurement:
- Manage inventory levels of parking supplies and coordinate procurement processes.
- Maintain vendor relationships and oversee supply delivery timelines.
6. Reporting:
- Prepare and analyze reports on parking utilization, revenue, and expenses.
- Submit monthly management reports, including revenue, season parking, and operational updates.
7. Compliance and Regulations:
- Ensure adherence to local regulations, safety standards, and company policies.
- Stay updated on regulatory changes and implement adjustments when needed.
8. Training and Support:
- Assist in onboarding and training new staff in administrative processes and customer service.
- Provide guidance on using software and systems for parking management.
9. Process Improvement:
- Proactively identify inefficiencies in administrative processes and propose solutions.
10. Operational Support:
- Re-check incident reports and maintenance work orders before submitting them for managerial approval.
- Monitor operational issues, including clamping or season parking complaints, and ensure they are resolved.
- Arrange and manage departmental documents for submission to HQ.
11. Administrative Management:
- Prepare memos and official letters for internal and external correspondence.
- Take minutes during meetings and handle confidential matters with discretion.
- Review invoices, staff overtime forms, punch cards, and leave applications before submitting them to the finance department.

Job Type: Full-time
Pay: RM1,800.00 - RM3,000.00 per month
