Document Management:
- Maintain, organize, and update physical and electronic documents in a systematic manner.
- Ensure accurate labeling, indexing, and filing of documents for easy retrieval.
Compliance and Quality Control:
- Verify that all documentation complies with company standards and regulatory requirements.
- Regularly review and update outdated documents.
Distribution and Communication:
- Coordinate the distribution of documents to relevant departments or external stakeholders.
- Respond to document-related queries promptly and professionally.
Records Keeping:
- Maintain a document log to track revisions, approvals, and document history.
- Archive and dispose of documents in accordance with retention policies.
Support Administrative Functions:
- Assist in preparing reports and presentations.
- Provide support for audits by ensuring documentation readiness.
- Language(s) required: Mandarin, English and Bahasa Malaysia.
- Education: Minimum SPM or equivalent; a diploma in administration or a related field is an advantage. Fresh graduates are welcomed to apply.
- Experience: Prior experience in document control or administrative roles is preferred.
- Technical Skills:
- Proficiency in Microsoft Office (Word, Excel, and PowerPoint).
- Familiarity with document management systems (DMS) is an advantage.
- Key Attributes:
- Excellent organizational skills and attention to detail.
- Strong communication skills (verbal and written).
- Ability to work independently and handle multiple tasks simultaneously.
