Job Responsibilities:
- Source and procure materials, equipment, and supplies as per organizational needs.
- Evaluate and select suppliers based on quality, cost, and delivery terms.
- Negotiate prices, terms, and contracts with suppliers to ensure cost-effective purchasing.
- Ensure that all procurement processes comply with company policies and standards.
- Supplier Relationship Management:Build and maintain strong, long-term relationships with suppliers and vendors.Regularly assess supplier performance and resolve any issues related to quality, delivery, or cost.Monitor market trends and adjust procurement strategies to take advantage of favorable conditions.
- Inventory Control:Maintain accurate inventory records and ensure sufficient stock levels.
- Track orders and deliveries to ensure timely receipt and manage shortages or backorders.
- Coordinate with the warehouse or storekeeping teams to ensure proper stock management.
- Order Processing and Coordination:Place orders with suppliers based on demand forecasts and production schedules.
- Follow up with suppliers to ensure timely delivery of goods and services.
- Handle and resolve any discrepancies in shipments or invoicing.
- Cost Management:Review and analyze supplier invoices to ensure accurate billing.
- Assist in budget preparation by providing cost estimates and historical purchase data.
- Recommend cost-saving initiatives through supplier negotiations, alternative sourcing, or process improvements.
- Documentation and Reporting:Maintain accurate records of all purchases, contracts, and communications with suppliers.
- Prepare procurement reports, highlighting cost analysis, supplier performance, and inventory status.
- Ensure compliance with procurement policies, procedures, and legal requirements.
- Collaboration and Communication:Work closely with other departments such as production, logistics, and finance to ensure that procurement needs are met.
- Communicate effectively with internal stakeholders to ensure that their procurement requirements are addressed promptly.
- Coordinate with the finance department for processing purchase orders and payments.
