Key Responsibilities:Front Office Management:

  • Greet and welcome visitors, ensuring a positive and professional first impression.
  • Manage incoming calls, emails, and correspondence, directing them to appropriate personnel.
  • Maintain a clean and organized reception area.
  • Coordinate visitor access, appointments, and meeting room bookings.
  • Handle inquiries and provide relevant information about the organization.

Secretary Duties:

  • Provide administrative support to senior management, including scheduling meetings and managing calendars.
  • Prepare and distribute correspondence, reports, and presentations as needed.
  • Organize and maintain files, records, and confidential documents.
  • Arrange travel itineraries, accommodations, and other logistics for management.
  • Monitor deadlines and ensure timely completion of tasks assigned by leadership.

Coordination and Liaison:

  • Act as a point of contact between management, employees, and external stakeholders.
  • Coordinate with other departments for smooth execution of daily activities.
  • Assist in organizing company events, conferences, and meetings.

Office Operations Support:

  • Manage office supplies inventory and ensure timely replenishment.
  • Assist with billing, invoicing, and other basic financial tasks as required.
  • Handle ad hoc responsibilities as assigned by management.

Qualifications and Skills Required:

  • Educational Background: High school diploma or equivalent; additional certifications in office management or secretarial work are advantageous.
  • Experience: 1-3 years of experience in front office or secretarial roles.
  • Technical Skills: Proficiency in MS Office Suite (Word, Excel, PowerPoint) and familiarity with office equipment.
  • Interpersonal Skills: Excellent verbal and written communication, customer service-oriented, and approachable.
  • Organizational Skills: Ability to multitask, prioritize, and manage time efficiently.
  • Professional Demeanor: Maintains discretion, confidentiality, and professionalism at all times.
