The Operations Manager is responsible for managing daily warehouse operations and coordinating logistics and resources for event management. This role ensures that inventory, supply chain, and event setup processes run smoothly, cost-effectively, and on schedule. The ideal candidate will have experience in warehouse management, event logistics, and a solid understanding of operational efficiency and team leadership. KEY RESPONSIBILITIES: A. Warehouse Management • Oversee and manage daily warehouse operations, including inventory management, stock control, and order fulfilment. • Ensure accurate inventory levels through regular stock-taking, audits, and implementation of inventory management best practices. • Coordinate inbound and outbound shipments, ensuring timely and cost-effective transportation. • Develop and enforce standard operating procedures (SOPs) to ensure efficiency, safety, and quality in warehouse operations. • Monitor and maintain warehouse equipment, ensuring all equipment is functioning and safe for use, coordinating repairs as needed. • Manage a team of warehouse staff, providing training, coaching, and performance reviews to maintain high standards of productivity and accuracy. Event Management • Plan and coordinate logistics for events, including resource allocation, staff scheduling, and transport arrangements. • Oversee event setup, teardown, and any warehousing or logistics needs related to event materials and equipment. • Work closely with event planners, vendors, and clients to ensure all logistical aspects of the event are met as per the project timeline. • Ensure all event-related inventory (decorations, stands, marketing materials, etc.) is well-organized, stored, and accessible as needed. • Develop contingency plans for potential logistical issues, such as delays or equipment failures, to ensure events run smoothly. B. Operations and Process Improvement • Analyze current operational workflows and identify areas for improvement to increase efficiency and reduce costs. • Implement process improvements within the warehouse and event logistics to streamline operations. • Track and report on KPIs related to warehouse and event operations, such as order accuracy, inventory turnover, and event setup timelines. • Ensure compliance with safety, health, and environmental regulations and industry standards. C. Budget Management and Resource Allocation • Manage the operations budget for warehouse and event logistics, tracking expenses and optimizing resource allocation. • Collaborate with procurement to source materials, negotiate vendor contracts, and manage inventory costs. • Forecast demand for event-related resources and manage inventory levels accordingly. Team Leadership and Collaboration • Lead, motivate, and manage a team of warehouse and event logistics staff, fostering a positive and productive work environment. • Collaborate cross-functionally with other departments (e.g., Sales, Marketing, Finance) to ensure alignment on event and warehousing needs. • Provide training for staff on operational procedures, event setup protocols, and health and safety standards. QUALIFICATIONS: • Education: Bachelor’s degree in Business Administration, Logistics, Supply Chain Management, or a related field (or equivalent experience). • Experience: 5+ years of experience in warehouse operations, event logistics, or a similar operational management role. • Skills: o Strong understanding of warehouse and logistics operations, including inventory management, stock control, and order fulfilment. o Excellent organizational and time-management skills, with the ability to multitask and manage multiple projects. o Strong problem-solving skills and the ability to handle last-minute challenges with effective solutions. o Proficiency in warehouse management software (e.g., WMS, ERP systems) and event management software is preferred. o Strong leadership and team management abilities, with a proven track record of developing high-performing teams. o Good communication skills to collaborate with clients, vendors, and internal teams. PHYSICAL REQUIREMENTS: • Ability to lift or move items up to 25 kg as needed. • Willingness to work non-traditional hours, including weekends and evenings, especially during events. PREFERRED QUALITIES • Experience in managing both warehouse and event logistics. • Certification in Supply Chain Management or Project Management is a plus. • Ability to work under pressure and adapt to fast-changing environments.
