We are currently looking for an "APAC EME Payroll Supervisor" for our Malaysian Office in Kuala Lumpur or our Oman Office in Sohar.
APAC EME Payroll Supervisor is responsible for overseeing and managing payroll operations across the Asia-Pacific (APAC) and Europe, Middle East, and Africa (EME) regions. This role ensures accurate and timely payroll processing, compliance with local regulations, and continuous improvement of payroll processes.
Main responsibilities:
5. MAIN RESPONSIBILITIES:
Payroll Processing:
- Oversee Payroll Runs: Ensure that payroll is processed accurately and on time for all employees.
Verify Data:
- Cross check salaries, deductions, and other payroll elements for accuracy and completeness.
Tax Compliance:
- Ensure proper calculation and withholding of taxes, process the payment to local authority accurately and on time, as well as compliance with local laws and regulations.
Social Security:
- Ensure accurate calculation of employee social security deductions and employer’s contribution.
- Ensure timely payment of social security to the local government/authority.
- Regularly reconcile payroll records to ensure that social security payment is accurate and up to date.
- Resolve any discrepancies or issues related to social security calculations and payments.
- Benefits Management:
Team Management:
- Supervise Staff: Management and support a team of Payroll Analysts, providing training and guidance as needed.
- Performance Management: Assess and evaluate the performance of team members, providing feedback and development opportunities.
Issue Resolutions:
- Address Discrepancies: Resolve payroll discrepancies and handle employee inquiries related to payroll issues.
- Escalation Point: Act as the 1st level of escalation for complex payroll issues or complaints.
Reporting and Analysis:
- Prepare Reports: Generate and present payroll reports to management, including statistics on employee pay, STI, LTI, leave balance, etc.
- Analyse Processes: Regularly analyze the payroll function to identify areas for improvement and implement changes.
Compliance and Audits:
- Ensure Compliance: Stay updated with payroll laws and regulations to ensure compliance.
- Support Audits: Assist with internal and external audits related to payroll.
Payroll Vendor Management:
- Establish and maintain regular communication with payroll vendors to ensure smooth operations.
- Continuously monitor vendor performance to ensure they meet service level agreements (SLAs) and Vale standards.
- Verify that vendors comply with all relevant local laws and regulations.
- Ensure vendors have robust data security measures in place to protect sensitive payroll information.
- Oversee the integration of vendor systems with Vale system to ensure seamless data flow.
- Ensure that vendor systems are regularly updated to reflect changes in local laws and regulations as well as Vale needs.
Qualifications:
- Education: Bachelor’s degree in HR or Accounting or a related field.
- Experience: At least 5 years of experiences in payroll, with a minimum of 2 years in a supervisory role.
Skills:
- Strong knowledge of payroll systems and HRIS.
- Excellent leadership and team management skills.
- Attention to detail and strong analytical skills.
- Ability to handle confidential information with discretion.
- Proficiency in Microsoft Office, especially Excel.
- Advanced and fluent in English
- Fluent in any of this language will be a plus: Arabic, Chinese, Japanese, French, Dutch, Malaysian Bahasa.
