Key Responsibilities:

1. Invoice Processing:

  • Review and process invoices accurately and in a timely manner.
  • Ensure invoices comply with company policies and relevant regulations.
  • Resolve discrepancies and issues with invoices in collaboration with vendors and internal stakeholders.

2. Payment Processing:

  • Coordinate and execute the payment of invoices, ensuring adherence to payment terms.
  • Monitor payment schedules and prioritize payments to optimize cash flow.
  • Process electronic funds transfers and manage payment approval workflows.

3. Expense Reporting:

  • Manage employee expense reports, ensuring compliance with company policies.
  • Verify supporting documentation and reconcile expenses with budgets.

4. Vendor Management:

  • Maintain positive relationships with vendors and suppliers.
  • Address vendor inquiries and resolve issues related to payments and invoices.

5. Account Reconciliation:

  • Reconcile vendor statements and resolve any discrepancies.
  • Ensure accurate and up-to-date records of accounts payable transactions.

6. Compliance and Documentation:

  • Ensure compliance with company policies and relevant accounting standards.
  • Maintain organized and accurate documentation for all accounts payable transactions.

7. Process Improvement:

  • Identify opportunities to streamline accounts payable processes and improve efficiency.
  • Collaborate with cross-functional teams to implement best practices.

8. Reporting and Analysis:

  • Prepare regular reports on accounts payable status, aging, and cash flow impact.
  • Analyze trends and provide insights to management for decision-making.

Qualifications:

  • Diploma or Bachelor’s degree in Finance, Accounting, or a related field.
  • Proven experience in accounts payable or a similar finance role.
  • Strong understanding of accounting principles and practices.
  • Excellent communication and interpersonal skills.
  • Detail-oriented with strong analytical and problem-solving abilities.
  • Proficiency in Microsoft Office, particularly Excel.
  • Experience with accounting software (e.g., Movex) is a plus.
