Key Responsibilities
1. General Administration
1.1 Oversee day-to-day office operations.
1.2 Maintain and update company records, files, and databases.
1.3 Handle incoming and outgoing correspondence (emails, phone calls, postal mail).
1.4 Manage office supplies and equipment, ensuring that stock levels are adequate.
2. Document Management
2.1 Prepare and manage calibration-related documentation and reports.
2.2 Ensure proper documentation for calibration certificates, service records, and inspection reports.
2.3 Organize and file calibration reports and certificates to meet industry compliance standards.
2.4 Assist in preparing customer proposals and quotations.
3. Customer Service Support
3.1 Provide administrative support to the customer service team.
3.2 Assist in scheduling calibration services and appointments with customers.
3.3 Maintain customer records and ensure accurate communication regarding service status.
3.4 Respond to customer inquiries, both internal and external, in a timely manner.
4. Scheduling and Coordination
4.1 Coordinate appointments and meetings for calibration team and management.
4.2 Assist in organizing training sessions, workshops, or seminars related to calibration.
4.3 Liaise with external vendors and suppliers to ensure timely delivery of services and equipment.
5. Data Entry and Reporting
5.1 Input calibration data into relevant software or databases.
5.2 Prepare and compile monthly or quarterly reports for management review.
5.3 Track calibration equipment and inventory, ensuring records are up to date.
6. Compliance and Documentation
6.1 Ensure adherence to relevant industry standards and regulations for calibration processes.
6.2 Assist in maintaining certifications and licenses for the company.
6.3 Monitor and ensure compliance with health and safety regulations within the office environment.
7. Internal Communication
7.1 Act as a point of contact for inter-departmental communication.
7.2 Assist with scheduling and organizing internal meetings.
7.3 Support management in the execution of departmental and company-wide initiatives.
8. Other Duties
8.1 Perform any other administrative tasks as assigned by the Division Manager/Operations Manager.
8.2 Support any HR-related administrative functions, such as preparing attendance and leave records.
Job Type: Full-time
Pay: From RM2,000.00 per month
