JOB DESCRIPTIONS : 1.01: Record all incoming letters and memos before distribute to the relevant person. 1.02: Prepare reports, minutes of meetings staff, memos and letters (official & un-official) if requested by State Manager. 1.03: Monitor and record the movements of the stationery and request for replenishment If required. 1.04: Responsible to look after and ensure all office equipment are in good condition and ask technician to check/repair if necessary. 1.05: Assist State Manager to prepare petty cash reimbursement. 1.06: Monitor and ensure office cleanliness. 1.07: Prepare a summary of NODs and Complaints. 1.08: Get the quotation for the vehicle maintenance to attach together with the Vehicle Maintenance Form. 1.09: Collect and attach ‘clocking tape’ security guards to form provided. 1.10: Gather all monthly utilities bill and send to Administration Dept. in HQ to prepare a payment. 1.11: Assist HR matters such as administer staff leave (Annual Leave & Medical Leave) of Regional Office’s staff by verify the number & balance of leave and transmit to HR Dept. in HQ for GM’s approval, check all overtime claim, staff attendance by checking the punch card. 1.12: Make photocopy of routine, periodic, emergency and other claims documents for filing. 1.13: Ensure the monthly office ration (refreshment) is sufficient. 1.14: To ensure effective implementation of Control of Supplier Procedure PR-THBM-AD- 501, Administrative Purchasing Procedure PR-THBM-AD-502, Distribution and Issuance of Materials or Products Procedure PR-THBM-AD-505 and Fixed Asset Registration and Disposal Procedure PR-THBM-AD-507 in accordance to ISO 9001 : 2015 requirements. 1.15: Any others related task as may assign by superior.
