Job description

Position Overview: As an HR Executive, you will play a vital role in supporting the Human Resources department's functions and activities within the organization. This entry-level position will give you the opportunity to gain valuable experience in various HR tasks while contributing to the overall success of the HR team.

Key Responsibilities:

Recruitment and Onboarding:

*Assist in drafting job descriptions and job advertisements.
*Post job openings on various job boards and company platforms.
*Screen resumes and applications to identify potential candidates.
*Coordinate interviews and assessments.
*Participate in new employee onboarding processes, including preparing paperwork and conducting orientation sessions.

Employee Records and Documentation:

*Maintain accurate and up-to-date employee records in both physical and electronic formats.
*Assist in managing HR databases and systems.
*File documents, such as contracts, training records, and performance evaluations.

HR Administrative Support:

*Provide general administrative support to the HR team.
*Assist in scheduling meetings and interviews.
*Help in organizing HR events, workshops, and training sessions.
*Respond to routine inquiries from employees regarding HR policies, benefits, and
procedures.

Benefits and Compensation:

*Assist in administering employee benefits programs.
*Support the HR team in updating and communicating compensation changes.
*Help with data entry related to payroll and benefits administration.

Compliance and Policies:

*Assist in ensuring compliance with labor laws and company policies.
*Participate in maintaining and updating HR policies and procedures.

Employee Relations:

*Provide assistance in resolving minor employee inquiries and concerns.
*Support HR in addressing workplace issues and conflicts.

Training and Development:

*Assist in coordinating training sessions and development programs.
*Help in tracking employee training and development progress.

Payroll:

*Responsible for end-to-end payroll, including ad hoc payroll, timely and accurately accordingly to set payroll timeline.

*Manage leave system, attendances and verify all attendances, claims, allowances and overtime before payroll processing.

* Prepare various monthly HR reports.

IR:

*Manage and resolve industrial disputes, grievances, and conflicts between employees and management while upholding legal and ethical standards.

*Liaise and represent the company in negotiations with regulatory agencies, arbitrators, mediators, auditors, trade unions and government bodies eg. Labour Department / IR Department advocating where required.

*Ensure full compliance with Malaysian labor laws, regulations, and industrial agreements.

*Prepare and submit necessary documentation for labor disputes and negotiations.

*Plan and manage Employee Relations programmes and initiatives to create harmonious relationships and a conducive working environment amongst employees and the management.

*Handle Team Member’s misconduct issues such as to conduct counselling, issue show cause, warning, suspension, termination, and other related to IR letter.

*Advise management on employee relations policies and practices.

*Conduct technical or domestic inquiry as part of the investigation.

*Assist to ensure employee disciplinary issues are implemented and in accordance with the Company Code of Conduct, Employment Act 1955, and Industrial Relations Act 1967.

*Develop, update, and implement HR and ER SOPs, processes, and tools to deliver required changes at all levels of the organisation in accordance with local labor laws.

Qualifications:

  • Bachelor's degree in Human Resources, Business Administration, or related field (or equivalent experience).
  • Basic understanding of HR principles, practices, and regulations.
  • Strong organizational and time management skills.
  • Excellent communication skills, both written and verbal.
  • Attention to detail and accuracy in data entry and record-keeping.
  • Ability to maintain confidentiality and handle sensitive information.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Familiarity with HRIS (Human Resources Information System) software is a plus.

Pay: RM2,500.00 - RM3,200.00 per month

Schedule:

  • Monday to Friday

Supplemental Pay:
