Performance Appraisal Support:

  • Assist the Director in preparing and organizing performance appraisals for team members.
  • Coordinate with departments to gather performance data and feedback for evaluations.
  • Schedule and organize performance review meetings, ensuring all stakeholders are aligned.
  • Prepare documentation, summaries, and reports for appraisal meetings.
  • Support the Director in setting objectives and key performance indicators (KPIs) for employees.
  • Maintain records of performance appraisals and monitor completion deadlines.

Goal Setting & Follow-Up:

  • Track and monitor the implementation of work goals and objectives for various teams and individuals.
  • Ensure that action items from performance appraisals are being carried out effectively.
  • Regularly update the Director on progress regarding employee goals, challenges, and successes.
  • Assist in identifying barriers to goal achievement and propose solutions to enhance performance.
  • Collaborate with department heads to ensure alignment on goals and ensure objectives are on track.

Communication & Coordination:

  • Act as a liaison between the Director and team members, facilitating effective communication on performance expectations, feedback, and progress.
  • Prepare reports on employee performance, goal attainment, and KPI progress for the Director’s review.
  • Organize follow-up meetings and progress checks for ongoing initiatives.

Administrative Support:

  • Manage the Director's calendar to ensure time is allocated for performance appraisals, goal-setting discussions, and follow-up meetings.
  • Prepare agendas and take meeting minutes during performance-related meetings.
  • Maintain a detailed tracker for performance evaluations, feedback, and follow-up actions.

Additional Tasks:

  • Provide ad-hoc support to the Director as needed, particularly in areas related to employee development, organizational performance, and goal management.
  • Assist with preparing presentations or reports for the leadership team regarding performance appraisals and work progress.
  • Degree in Business Administration, Human Resources, or a related field.
  • Fresh Graduates are welcome to apply.
  • Able to speak in English and Mandarin
  • Experience in human resources or performance management.
  • Familiarity with performance appraisal software or tracking systems.

Required Skills and Qualifications:

  • Proven experience as a Personal Assistant, Executive Assistant, or in a similar administrative role.
  • Strong understanding of performance management processes and employee goal setting.
  • Excellent organizational and time-management skills, with the ability to manage multiple tasks and deadlines.
  • Outstanding communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) or similar office tools.
  • Ability to handle sensitive and confidential information with discretion.
  • Proactive, detail-oriented, and capable of working independently with minimal supervision.
  • Strong interpersonal skills, with the ability to collaborate effectively with employees at all levels.
