Under the guidance and direct supervision of the Manager, Grant Management & Partner Initiatives, the Executive, Grant Management is responsible for overseeing overall project implementation and performing related administrative duties. SPECIFIC KNOWLDEGE/SKILLS/ABILITIES • Familiarity with non-profit sector. • Problem solving, planning, interpersonal, teamwork, and communication skills coupled with the ability to work under pressure • Ability to communicate simply and transfer capacity to others. • Ability to work with large as well as grassroots organizations. • Skilled in negotiation and partnership building to align diverse stakeholders toward a common goal • Demonstrated experience in program management and administration, and contract compliance. • Proficient with Microsoft Office applications (Word, advanced Excel, and PowerPoint) RESPONSIBILITIES & DUTIES 1. Liaising with the Grant Management & Partner Initiatives Manager closely and providing necessary coordination to ensure the realization of the project targets and to facilitate the integration of the project outputs. 2. Working closely with the IRSI Division & MAC/MAF Team, external partners, consultants, and stakeholders to implement the stipulated activities as a workplan. 3. Assisting with the overall project implementation and tracking the progress of the project. 4. Ensure transparent and efficient management of budgets for project implementers and funder’s reporting on a timely basis. 5. Assisting in the development of training plans for programs according to the work plan and budget. 6. Actively collaborate with IRSI Division Team, Partner Organizations, stakeholders, and other relevant parties to achieve the intended outcome. 7. Assisting in developing a concept note/Term of Reference on an activity basis. 8. Provide technical assistance and input when required, in all training and capacity development programs. 9. Conduct field visits as required. 10. Liaise regularly with project implementers to ensure good collaboration between MAC and project implementers and document all discussions between project implementers and MAC. 11. Assisting in coordination and strengthening the information exchange with other relevant national and international bodies to achieve the maximum synergy effect. 12. Carry out related administrative duties for IRSI Division. 13. Assisting in preparing the semi-annual and annual reports, annual work plans and budgets for the funders 14. Create and deliver routine and ad hoc reporting needed to understand various aspects of processes. 15. Monitor and document the grant making workflow processes, forms, templates, reports, and data to assure full compliance with internal controls. 16. Collect, compile data/information for internal use during discussions at stakeholders and funders meetings 17. Support IRSI division event and MAC/MAF event. 18. Undertake other responsibilities not outlined above which are commensurate with a role of Grant Management Executive, and which have been discussed and agreed between the line manager and post holder. 19. To support Manager, Grant Management & Partner Initiative with internal and external communication. Carry out any other duties as may be directed by the Head of International Relation & Special Initiative, MAC/MAF Deputy Executive Director and MAC/MAF Executive Director to further the aims of MAC/MAF.
