Role Description
This is a full-time on-site role for an Administrator based in Petaling Jaya, Selangor. The day-to-day tasks include handling administrative duties, supporting senior management, and ensuring smooth operations at the headquarters and sites.
Responsibilities
- Administrative Operations: Handle document filing, index preparation, and email correspondence to ensure smooth administrative processes.
- Facilities & Inventory Management: Oversee office cleanliness, maintenance of facilities, and inventory for toiletries, stationery, and office supplies.
- Staff Accommodation & Support: Manage staff accommodations, including maintenance, inventory updates, and liaising with property owners.
- Company Assets & Compliance: Ensure timely renewal of licenses, permits, insurance, road tax, and management of petty cash and company credit cards.
- Coordination & Liaison: Communicate with authorities, arrange courier services, and assist other units with administrative needs as required.
- Canteen & Utilities Management: Oversee canteen operations, meal subsidy headcount, and ensure utilities invoices are paid without delay.
- Visitor & Staff Support: Welcome visitors, serve beverages, manage staff claims, and step in for absent subordinates when necessary.
- Staff Claims Processing: Oversee and process staff claims, ensuring compliance with company policies and timely reimbursements.
- IT Resources Management: Arrange and manage IT equipment, email accounts, and software for employees, including troubleshooting initial issues.
- Uniforms & PPE Distribution: Manage distribution and inventory of staff uniforms and PPE to maintain compliance with company standards.
- Policy & SOP Development: Assist in drafting, implementing, and maintaining company policies and standard operating procedures to enhance operational efficiency.
Qualifications
- Proficiency in office management software and strong organizational skills
- Excellent communication and interpersonal abilities
- Proven experience in an administrative role, preferably at a senior level
- Ability to multitask, prioritize, and manage time efficiently
- Attention to detail and problem-solving skills
Others
- Conduct all necessary duties to ensure that the annual objectives set by the management is achieved;
- To perform any other duties and tasks that are assigned by the management;
- To implement, maintain and comply with Company Integrated Management system Policy, procedures and relevant requirements of ISO 9001 :2015 Quality Management System, ISO 45001:2018 Safety & Health Management System and ISO 14001:2015 Environmental Management System.
