Scheduling and Coordination • Maintain and update calendars for executives or departments. • Schedule and organize meetings, conferences, and appointments. • Coordinate travel arrangements, including flights, accommodations, and itineraries. 3. Documentation and Record Management • Maintain organized filing systems for physical and digital records. • Draft, proofread, and distribute meeting agendas, minutes, and memos. • Ensure compliance with confidentiality and data protection standards. 4. Communication and Liaison • Act as the first point of contact for visitors, clients, and stakeholders. • Facilitate communication between executives, departments, and external parties. • Relay messages and follow up on action items as needed. 5. Meeting and Event Support • Arrange and prepare meeting rooms with required materials and equipment. • Take minutes during meetings and distribute them to relevant attendees. • Assist with the planning and execution of company events, workshops, or seminars. 6. Clerical Duties • Order and manage office supplies to ensure smooth operations. • Operate office equipment such as printers, copiers, and scanners. • Monitor and address incoming mail and packages. 7. Project Assistance • Support projects by performing research, compiling data, and organizing materials. • Track deadlines and follow up on project milestones. • Collaborate with team members to ensure deliverables are met. Job Requirements • Proven experience as a secretary or in a similar role. • Professional demeanor and customer service orientation. • Ability to manage multiple tasks and prioritize effectively. • Handling sensitive information with confidentiality and professionalism. • Ability to anticipate needs and address challenges proactively.
