Main responsibilities:
Assist and support the State Manager (SM) and PAAB Pahang staff in daily operations and all clerical and administrative tasks.

Tasks:

  • Perform general administrative and clerical duties.
  • Record, update, monitor and manage project correspondence in both hardcopy and digital formats including incoming and outgoing correspondence, distribution, updates and scanning.
  • Answer telephones, provide information to callers, take messages or transfer calls to appropriate individuals.
  • Assist the SM in liaising, coordinating and communicating with the Consulting Engineer, Office Support Personnel, Government Bodies and Local Authorities.
  • Update and manage the schedule/calendar and ensuring everything is in order.
  • Monitor and ensure all administrative/clerical duties, such as filing, duplicating materials, receiving and transmitting messages and data are performed smoothly for all projects.
  • Contribute to the team effort by accomplishing related results as needed.
  • Receive and provide information, requirements and matters for the smooth running of the projects.
  • Liaise with internal and external contacts as required.
  • Ensure office cleanliness and that equipment is well-kept and functioning properly.
  • Update and manage the divisional calendar accordingly.
  • Organize and coordinate meetings, appointments, conferences and travel arrangements.
  • Monitor and manage PAAB Pahang staff matters related to the Human Resources & Administrative (HRA) Division, such as HR matters, staff claims and accommodation arrangements.
  • Perform other related tasks as instructed by management and/or the immediate superior.
  • Requirements:

    • Recognized Diploma, Sijil Pelajaran Malaysia or its equivalent;
    • At least 1-2 years’ experience in clerical, filing system and administrative works.
    • Proficiency in the use of MS Office suite including MS Excel, MS Word and MS PowerPoint;
    • Proficiency in spoken and written English and Bahasa Malaysia is required;
    • The candidate should be creative and energetic;
    • A good working attitude and willingness to travel are expected.
