Responsibility

  • Welcome patients warmly and professionally.
  • Manage front desk operations with schedule appointments efficiently, coordinating with patients and practitioners.
  • Confirm appointment details with patients.
  • Address patient inquiries promptly and accurately.
  • Direct calls to the appropriate department or individual as needed.
  • Keep accurate patient records in our electronic medical records (EMR) system.
  • Ensure patient information is up-to-date and correctly entered.
  • Handle patient’s payments, including cash and credit card transactions.
  • Ensure proper storage and handling of all clinic supplies.
  • Assist patients with product recommendations based on practitioner guidance.
  • Answer patient questions regarding TCM products and services.
  • Maintain a clean and welcoming environment for patients in the waiting area.
  • Manage clinic calendar, scheduling appointments for practitioners and ensuring smooth workflow.
  • Perform basic administrative tasks like photocopying, filing, and data entry.

Requirements

  • High school diploma or equivalent preferred.
  • Minimum 1 year of experience in a customer service or administrative role.
  • Able to speak in English and Mandarin.
  • Fresh graduate are welcome to apply.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills, with the ability to build rapport with patients.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to learn and adapt to new procedures and software.
  • Positive attitude and a passion for traditional Chinese medicine (a plus!).
  • Ensure proper storage and handling of all clinic supplies.
