Responsibility
- Welcome patients warmly and professionally.
- Manage front desk operations with schedule appointments efficiently, coordinating with patients and practitioners.
- Confirm appointment details with patients.
- Address patient inquiries promptly and accurately.
- Direct calls to the appropriate department or individual as needed.
- Keep accurate patient records in our electronic medical records (EMR) system.
- Ensure patient information is up-to-date and correctly entered.
- Handle patient’s payments, including cash and credit card transactions.
- Ensure proper storage and handling of all clinic supplies.
- Assist patients with product recommendations based on practitioner guidance.
- Answer patient questions regarding TCM products and services.
- Maintain a clean and welcoming environment for patients in the waiting area.
- Manage clinic calendar, scheduling appointments for practitioners and ensuring smooth workflow.
- Perform basic administrative tasks like photocopying, filing, and data entry.
Requirements
- High school diploma or equivalent preferred.
- Minimum 1 year of experience in a customer service or administrative role.
- Able to speak in English and Mandarin.
- Fresh graduate are welcome to apply.
- Strong organizational and time management skills.
- Excellent communication and interpersonal skills, with the ability to build rapport with patients.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to learn and adapt to new procedures and software.
- Positive attitude and a passion for traditional Chinese medicine (a plus!).
- Ensure proper storage and handling of all clinic supplies.
