JOB DESCRIPTION

POSITION TITLE : PROJECT SECRETARY

JOB RESPONSIBILITIES:

  • Co-ordination of project meetings including room bookings, equipment for meeting , or any document as required in the meeting.
  • Forward all potential documentation (hard copy and electronic) to Project Director/ Project Architect/ Architect.
  • Distribution of incoming/outgoing hard copy correspondence (including attachments), filing and scanning of same in accordance with our filing structure and liase with Project Director/ Project Architect/ Architect.
  • Ensuring that all electronic correspondence is processed in accordance with procedures.
  • Maintenance of all secretarial administrative electronic files in accordance with procedures .
  • Maintaining email project and calendars by entering meeting details (including location and etc).
  • Informing relevant team members/departments of team absences or any meeting to Human Resources department.
  • Travel arrangements- to ensure compliance with company policy, using our travel requisition form forwarding to Project Director and Human resources department for authorisation and implementation .
  • Liaise with travel agents for booking flight ticket.
  • Liase with despatch for any correspondence need send out.
  • Prepare certificate of payment to contractor by respective project.
  • RIF form and MAF form has issued by architec and send email to contractor by respective project.
  • Flexibility and cover within the secretarial administration team when required.
  • Undertake other ad hoc duties as may be required form time to time.

JOB REQUIREMENTS:

  • Candidate must possess at least a Professional Certificate, Advanced/Higher/Graduate/ Diploma or Bachelor in Secretarial or equivalent.
  • Able to demonstrate proficiency in using Microsoft Outlook, Word and Excel
  • Required language(s): Proficient in Bahasa Malaysia and English.
  • At least 1 year(s) of working experience in the related field is required for this position.
  • Candidate must possess pleasant personality, multi-tasking abilities, strong organization and documentation skills.
  • Able to work independently and as part of an effective team.

Proposed Salary Range: RM 2000-RM3000

Job Type: Full-time

Pay: RM2,000.00 - RM2,500.00 per month
