Employee Welfare Activities and Engagement: • Support the coordination of engagement initiatives for the organization, including events, workshops, and employee recognition programs. • Develop presentation slides and assist with video editing for internal communications and training purposes. • Assist in designing e-learning courseware on HR topics such as workplace conduct, HRIS training refresher, and other relevant subjects. Teaching Permit Application: • Assist new professors, associate professors, and teaching fellows in the application process for teaching permits. • Coordinate with relevant departments and authorities to ensure timely submission and processing of permit applications. • Maintain records and documentation related to teaching permits and visa requirements for academic staff. Expatriate Management: • Responsible in handling all matters related to immigration and expatriate application to MOHE (Manually) and to submit the expatriate pass application in the system (MYXPAT) and sticker application (Counter IMMIGRATION Department). • Responsible to monitor on the validation of Expatriate and dependent pass from time to time. • Ensure compliance with immigration and employment regulations for expatriates, including visa applications and renewals. Reports: • Assist the Manager in preparing HR monthly reports, including demographic analyses and other relevant metrics. Filing System: • Manage, coordinate, update, and maintain filing and recording systems related to employee records, HR documents, and other departmental files. HRIS : • Responsible in maintaining and updating of employee database, all kinds of records and information related to employees in INCEIF. • Responsible to assist in the enhancement of the ERP system if and when requires as one of the prime user in Human Capital Department. • Assist in preparing analysis/ reports as per Management’s requirement. Human Capital Service Administration: • Providing general administration support to the team. • Undertake any other tasks assigned by INCEIF related to event management.
