Job Description: Administrative Assistant Job Summary: • Responsible to create invoice and credit memo, issue to customers by all necessary means and update customer file at a timely manner. • Responsible to carry out daily cashier task. Responsibilities: • Perform daily operation responsibilities. • Assist day-to-day administrative and operational activities of the company in its day-to-day operation. • Responsible to create invoice to customer. • Responsible to capture goods into purchase invoice. • Arrange and sort out Invoice, Receipt, Delivery Order, Credit Note, Debit Note, Return Note and other documents for proper filing. • Prepare payment voucher for petty cash reimbursement. • Responsible to tally petty cash daily. • Ensure all supplier invoices are received on time. • Issue Invoice and Delivery Oder once the goods are ready for delivery. • Responsible for the goods return and issue Credit Note or Debit Note. • Ensure the delivery order or supplier invoice has chop and signature after goods being delivered or received. • Establish good relations with customers and check with customers on overdue payment status. • Monthly review customers’ credit and perform credit term collection. • Assist to prepare monthly statement of account to credit term customer in a timely manner. • Maintain and manage proper filing of accounting document. • Perform duties to support Sales team’s daily activities. • Assist to follow up on the status of the order and monitor closely. • Maintain inventory by conducting monthly physical count, reconciling variance and inputting data. • Provide sale support to the team for any related request, inquiry, quotation or confirmation. • Communicate and follow up with the team to achieve monthly sales and collection target. • Understand the company goal and purpose so that will continual to enhance the company performance. • Any ad hoc task as assigned by superior. • Responsible to create invoice and credit memo, issue to customers by all necessary means and update customer file at a timely manner. • Responsible to carry out daily cashier task.
