Job Description:

We are seeking a highly skilled and adaptable Personal Assistant to provide comprehensive support to the Director and Top Management team. The ideal candidate will possess excellent organizational, communication, and problem-solving skills, along with the ability to handle multiple responsibilities and maintain discretion. This role involves managing schedules, facilitating communication, and assisting with strategic initiatives and administrative tasks.

Key Responsibilities:Executive Support

  • Manage schedules for the Director and Top Management, ensuring efficient time management.
  • Prepare materials for meetings, including agendas, presentations, and reports.
  • Record minutes during meetings and follow up on action points.
  • Handle high-priority correspondence and communication on behalf of the Director and Top Management.

Government and Regulatory Affairs

  • Coordinate and manage tasks related to government permits, licensing, and compliance.
  • Liaise with government agencies to ensure timely submission and approval of necessary documentation.
  • Monitor changes in government policies or regulations and advise the Director and Top Management accordingly.

Project and Operational Coordination

  • Assist in planning and monitoring strategic initiatives led by the Director and Top Management.
  • Track project progress, compile updates, and report potential risks or delays.
  • Collaborate with department heads to align operational activities with strategic goals.

Financial and Administrative Management

  • Assist in budgeting, expense tracking, and financial reporting for the Director and Top Management.
  • Review and process invoices, ensuring timely payments and documentation.
  • Maintain an organized system for records, contracts, and confidential documents.

Communication and Stakeholder Management

  • Act as a liaison between the Director, Top Management, and internal/external stakeholders.
  • Represent the Director and Top Management in meetings or events when required.
  • Manage inquiries, ensuring that all requests are prioritized and addressed effectively.

Travel and Event Management

  • Organize travel itineraries, accommodations, and transportation for the Director and Top Management.
  • Plan and coordinate company events, including team meetings, training sessions, and client engagements.

Team Support and Leadership

  • Support the Top Management team with daily operational tasks.
  • Foster communication and collaboration between departments on behalf of Top Management.
  • Handle confidential tasks with discretion and professionalism.

Qualifications:

  • Education: Diploma or Bachelor’s Degree in Business Administration, Management, or a related field.
  • Experience: Minimum 5 years of experience as a Personal Assistant, preferably to senior leadership or executive management.
  • Skills:
  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication in English and Bahasa Malaysia (additional languages are an advantage).
  • Proficiency in Microsoft Office Suite and project management tools.
  • Ability to work under pressure and handle complex tasks with efficiency.
  • Strong problem-solving and decision-making abilities.

Additional Requirements:

  • Willingness to work flexible hours, including weekends and public holidays, if needed.
  • Possession of a valid driver’s license and own transport.
  • Professionalism, integrity, and confidentiality in all dealings.
  • A proactive and resourceful attitude to meet the demands of senior management.
