RESPONSIBILITY AND ACCOUNTABILITY

  • Manage & Schedule appointment and reminding the Directors of important tasks and deadlines
  • All the PA / Secretary task assigned by Directors & Management from time to time
  • Miscellaneous tasks to support the Directors' matters whether for business and/or personal purposes
  • Maintains strict confidentiality & interact professionally with all level of management & staffs included outsider
  • Provides high level administrative, secretarial and business support (contract / project) to MD/ED
  • Maintain executive's agenda and assist in planning appointments, board meetings, conferences etc
  • Organizing and attending meetings and ensuring the Manager is well prepared for meetings
  • Attend meetings and taking minutes
  • Compiling & preparing all reports presentation, correspondences & minutes meeting
  • Handle all the documentation of presentation / Meeting / tender interview
  • Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.)
  • Arranging and coordinate travel itineraries, bookings, visas and accommodation and travel related matters for all level of staff & directors.
  • Meeting and greeting visitors at all levels of seniority
  • Handle confidential documents ensuring they remain secure
  • Renew and maintain the licenses & authorities application such as business licenses, Office Partition,Signboards licenses, CIDB, ISO certification, Advertising Permit & Developer License (APDL) License and all relevant Licenses if require.
  • ISO matters & audit for certification / SIRIM / Report / Communication / until end of closing of NCR (both internal & external audit)
  • Maintain KPKT & all the correspondence with buyer & lawyer
  • PreQ tender / PQP project undertaking. Review & handle of all the tender / Project documentation for Directors included to write CV for tender & submission of documentation for CF & Form G for project finished. Work closely with other team member to ensure all the contract / tender / PreQ tender / Presentation meet deadlines for submission
  • Ensure the office maintenance such as lift, toilet, painting, equipment, computer & office cleaning included plantation, refreshment for guest, maintain internet, and create staff email address, Company website, server, CCTV and etc.
  • Sometime required to work / “on call” after working hours include evening, weekend or Public Holidays when necessary for tender / project presentation and all other related to works.
  • Undertaking other special assignments and ad-hoc functions as and when required.

ACADEMIC QUALIFICATION

Candidate must possess at least Bachelor’s Degree in Construction Management / Business Studies / Administration / Management, or equivalent

EXPERIENCE / SKILL REQUIRED

  • At least 5 years working experience as Personal Assistant or in the related field is required for this position
  • Proficient in Microsoft office application such as power point/ excel/ word and etc.
  • Strong organizational and time-management skills
  • Excellent communication and negotiation abilities
  • Integrity, confidentiality and meticulous
  • Proven experience as executive secretary or similar administrative role
  • Preferably previous experience in tendering procedures and documentation
  • Previous experience as PA for more than 1 Director.
  • Must be tech -savvy
  • Mandarin speaker preferred

Job Type: Full-time

Pay: RM5,000.00 - RM6,000.00 per month
