Main Responsibilities:
Provide full administrative and secretarial support to the Director to ensure the smooth management of day to day affairs. Handle sensitive and complex issues in a professional and objective manner.
Responsible for organizing and managing every aspect of an event include conceptualizing theme ideas, planning budgets, booking venues, liaising with external party, managing logistics and presenting post-event reports.
Job Description
- Support director directly as the go-to-person for all needs, including daily administration, calendar management, travel schedules, project coordination, delivering presentations, answering calls, etc.
- Assist in researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; and initiating telecommunications.
- Coordinates projects by capturing timelines and strategies and delivering progress updates.
- Organize and coordinate meetings, prepares meeting rooms for appointments, coordinates schedules, meeting minutes taking, and greet customers and clients prior to meetings.
- Keeps, prepares, and distributes minutes of meetings.
- Oversee all aspects of event planning and management, including internal and external events, with experience planning exhibitions and large business-to-business events.
- Planning event aspects, such as venue, seating, dining, and guest list.
- Director properties management.
- Delegating event planning tasks to other staff members where necessary.
- Staying under budget while planning event specifications.
- Managing and overseeing events on the day of, including problem-solving, welcoming guests, directing event set-up, communicating with staff, and organizing vendors.
- Support for associations activities
Job Qualification
- Minimum Degree education in any field.
- At least one (1) year of related experience required.
- Always available, mobile.
- Exemplary planning and time management skills.
- Outstanding verbal and written communications skills.
- Ability to interact with high profile clients and executives.
- preferable mandarin speaker due to work requirement
