JOB DESCRIPTION FOR SECRETARY TO CHIEF EXECUTIVE OFFICER · To provide and maintain full spectrum of secretarial and administration duties such as arranging meeting schedules, maintaining a proper filling system of documents arrangement of appointment, travel arrangement, etc. · To arrange and coordinate internal and external business meetings and social events. · Coordinate and communicate with hospital staff, patients, and external partners. · Assist medical staff with administrative tasks, including scheduling, correspondence, and record-keeping. · Acting as a first point of contact to handle daily incoming and outgoing communications, email notifications and instant messaging. · Ensure effective time management to achieve a smooth flow of CEO’s schedule. · Work closely with internal departments and with all levels of department to achieve greater operational efficiency and to facilitate effective communication. · Prepare & manage correspondences with internal & external parties for CEO signature. · Make summary of all documents and brief CEO, to obtain CEO’s signature. · Maintain confidentiality of sensitive matters/ issues.
