Reports to: Sales Manager / Dealership Manager
Job Summary:
The Automotive Sales Administrator assists the sales team in handling day-to-day sales operations, ensuring the smooth processing of vehicle sales orders, documentation, and customer support. They play a vital role in maintaining accurate records, processing financial agreements, and coordinating with various departments to ensure timely vehicle delivery to customers.
Key Responsibilities:
- Order Processing and Documentation:
- Handle the complete sales order process, from vehicle order to delivery.
- Ensure all vehicle sales transactions are recorded accurately and timely in the system.
- Prepare and process sales invoices, contracts, and vehicle registration documents.
- Coordinate with the sales team to confirm that all paperwork is in order before vehicle handover.
- Inventory Management:
- Assist in managing vehicle inventory, keeping track of stock levels, and coordinating with suppliers for vehicle orders.
- Maintain records of incoming and outgoing vehicles, ensuring that vehicle details (model, color, VIN, etc.) are accurately logged.
- Customer Service Support:
- Respond to customer inquiries regarding vehicle availability, pricing, and delivery timelines.
- Assist in resolving customer complaints and issues related to sales orders, vehicle registration, or financing.
- Provide updates to customers on their vehicle order status and coordinate delivery or pickup schedules.
- Financial Administration:
- Process payments, deposits, and financial agreements (e.g., loans, leasing) in coordination with finance departments.
- Prepare sales documentation required for financing or leasing approvals.
- Ensure compliance with dealership and manufacturer financial policies.
- Sales Reporting and Data Management:
- Prepare regular sales reports, including daily, weekly, and monthly sales figures.
- Analyze sales performance data to assist the sales team in tracking their progress against targets.
- Update the CRM system with customer details, vehicle orders, and sales transactions.
- Cross-Department Collaboration:
- Liaise with the service and delivery departments to ensure vehicles are prepped and ready for handover.
- Work closely with the finance department to ensure all financial records are correct and payments are processed.
- Assist marketing in promotional activities, customer events, or dealership campaigns.
- Compliance and Regulations:
- Ensure all vehicle sales adhere to local and national regulations, including taxes, licensing, and insurance.
- Maintain up-to-date knowledge of regulatory changes related to vehicle sales and registration.
Skills and Qualifications:
- Strong organizational skills and attention to detail.
- Excellent customer service and communication skills.
- Proficiency in dealership management systems (DMS) and CRM software.
- Ability to multitask and prioritize tasks effectively.
- Knowledge of automotive sales processes and industry regulations.
- Comfortable working with financial data and documentation.
Education and Experience:
- A diploma or degree in Business Administration, Automotive Management, or a related field.
- Previous experience in automotive sales support or administration is preferred.
- Familiarity with vehicle financing and leasing processes is a plus.
