Deputy Manager (Human Resources & Administration)

Location : Menara KOMTAR Johor Bahru

Our company is looking for an organized, independent, and self-motivated Deputy Manager (HR & Admin) that will ensure the company's strategy is adhered to and carried out. The role also requires the candidate to bring in best practices in continuous improvement plans and activity into the organization.

Key Responsibilities:

1. Human Resources Management

  • Assist in the recruitment process, including job postings, screening resumes, conducting interviews, and coordinating onboarding processes for new employees.
  • Ensure compliance with HR policies and procedures and help in the implementation of HR strategies.
  • Maintain and update employee records and HR databases.
  • Assist in managing employee benefits programs (insurance, leave policies, etc.) and ensure all benefits are administered accurately and on time.
  • Coordinate performance appraisal cycles and assist in tracking employee performance, ensuring alignment with company goals.
  • Provide guidance to employees and managers on HR-related issues, including conflict resolution, grievances, and disciplinary actions.

2. Training & Development

  • Identify training needs and work with managers to facilitate employee development programs.
  • Assist in organizing and coordinating training sessions, workshops, and seminars to enhance employee skills and knowledge.

3. Payroll Administration

  • Coordinate payroll activities with the finance department, ensuring accurate and timely payment of salaries and benefits.
  • Address employee payroll queries and ensure accurate record-keeping of attendance, overtime, and leave balances.

4. Compliance & Reporting

  • Ensure adherence to labor laws, company policies, and regulations.
  • Assist in preparing HR-related reports and analyzing HR metrics.
  • Maintain confidential employee information and documentation in compliance with data privacy laws.

5. Administrative Support

  • Oversee office administrative functions, including office supplies management, facility maintenance, and vendor coordination.
  • Ensure efficient office operations and handle logistical support for HR and company events.
  • Assist with travel arrangements, meeting schedules, and other administrative tasks as needed.

6. Employee Relations

  • Foster a positive work environment by addressing employee concerns and creating engagement initiatives.
  • Participate in team-building activities and company events to promote employee satisfaction and retention.

7. Policy Development & Implementation

  • Assist in the review and formulation of HR policies and procedures.
  • Ensure that company policies are communicated effectively to employees and adhered to consistently.

Qualifications & Experience

  • Qualification: Bachelor's degree in Human Resources Management, Business Administration, or a related field.
  • Experience: Minimum of 3–5 years of experience in Human Resources, with at least 1–2 years in an administrative or managerial role.
  • Experience in both HR functions (recruitment, employee relations, training, etc.) and administrative functions (office management, compliance, reporting).

Knowledge & Skills:

  • Strong knowledge of labor laws and HR best practices.
  • Excellent communication and interpersonal skills.
  • Problem-solving ability and a proactive approach to employee issues.
  • Strong organizational and multitasking skills.
  • Ability to work in a fast-paced environment and handle sensitive matters with discretion and confidentiality.

Job Types: Full-time, Contract
Contract length: 24 months
