Key Responsibilities : This Assistant Manager role will be based out in our HQ, Petaling Jaya office where the focus will cover the outlet operation regions (Northern & Southern Malaysia).

1) Talent Acquisition

  • To collaborate with the Talent Acquisition team on recruitment strategies and processes to ensure timely hiring of top talent for business operation needs.
  • To assist the development of a strong talent pipeline to support current and future business expansion.
  • To assist to design and implement innovative recruitment strategies to attract high-caliber candidates across multiple locations.
  • Collaborate with hiring managers to ensure job requirements and expectations are clearly understood and met.
  • To assist in monitoring recruitment metrics and use insights to enhance hiring efficiency.

2) Industrial Relations (IR)

  • Serve as the primary liaison for industrial relations matters across Southern or Northern Malaysia in collaboration with the IR team.
  • To manage employee grievances, disciplinary actions, and dispute resolution in compliance with local labor laws.
  • To foster positive relationships with employees, and relevant authorities to maintain a harmonious workplace.
  • Work closely with the management and employees to improve work relationships, build morale and increase productivity and retention.
  • Ensure consistent application of company policies and procedures while addressing IR-related issues.
  • Stay updated on changes in labor laws and implement necessary adjustments to company policies.

3) HR Strategy and Business Partnership

  • Align regional HR strategies with overall business objectives to support growth and expansion.
  • Provide expert HR consultation to senior management on workforce planning, market trends and HR operations that drives efficiency and effectiveness.
  • Analyzes trends and metrics in partnership with the HR group to develop solutions, recommendation, programs, processes and policies.

4) Employee Engagement and Culture

  • Develop initiatives to enhance employee engagement and promote a positive workplace culture across Southern or Northern Malaysia outlets.
  • Conduct regular engagement surveys and action plans to address feedback.
  • Promote inclusivity, diversity, and continuous learning.

5) Performance Management and Development

  • Able to conduct orientation programmes across Southern or Northern Malaysia outlets (as and when needed).
  • Support managers in setting goals, providing feedback, conducting performance evaluations and assisting in PIPs.
  • Identify and address training needs to build employee capabilities by collaborating with the Training & Development team.
  • Provides day-to-day performance management guidance to line management (e.g. coaching, counseling, career development, disciplinary actions).

6) HR Compliance and Operations

  • Ensure HR practices align with labor laws and company policies across the region.
  • Maintain accurate employee records for Southern or Northern Malaysia.
  • Implement and monitor compliance with HR policies to ensure consistency and legal adherence.

7) Others

  • To cross collaborate with other HR functions or to lead on continuous improvement projects towards organizational effectiveness.
  • Performs other related duties as assigned.

You should have:

  • Bachelor's degree in Human Resources, Business Administration, HR certification (e.g., SHRM, CIPD) or a related field.
  • Minimum of 5 years of HR experience, with at least 3 years in a managerial role within the retail industry or a related field.
  • Strong knowledge of local labor laws and regulations.
  • Experience in supporting business expansion initiatives is highly desirable.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal skills.
  • Excellent organizational skills and attention to detail.
  • Ability to comprehend, interpret, and apply the appropriate sections of applicable laws, guidelines, regulations, ordinances, and policies.
  • Ability to acquire a thorough understanding of the organization's hierarchy, jobs, qualifications, compensation practices, and the administrative practices related to those factors.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Strong analytical and problem-solving skills.
  • Proficient with Microsoft Office Suite.
