Job Summary
We are looking for a detail-oriented and highly organized Global Client Support & Mobility Specialist to join our team in Kuala Lumpur. The ideal candidate will have a strong background in visa and work permit processing, along with experience in managing administrative duties. Prior experience in business licensing submissions and related processes is a strong advantage. The role involves maintaining excellent client relationships, ensuring compliance with regulatory requirements, and providing exceptional support to foreign nationals throughout the entire visa and work permit process.
Key Role & Responsibilities
· Client Relationship Management: Build and maintain strong relationships with both local and international clients, serving as their primary point of contact for all mobility- related matters.
· Visa & Work Permit Processing: Prepare, compile, and review accurate visa and work permit applications, ensuring compliance with relevant regulations under ESD, MIDA, and MDEC.
· Document Management: Handle and coordinate all required documentation for visa and work permit submissions. Business licensing experience is not mandatory but highly preferred for candidates managing related documentation.
· Regulatory Compliance: Proactively manage the visa application process, keeping up to date with immigration policies and regulations, and ensuring timely submissions to avoid delays.
· Administrative Support: Maintain a comprehensive database of mobilization and demobilization records, scan and compile receipts, and assist in invoicing and payment follow-ups when necessary.
· Process Improvement: Work closely with the global client support team to streamline processes, enhance efficiency, and provide constructive feedback to improve the overall client experience.
· Issue Resolution: Identify potential issues or delays in the visa process and escalate them to the Head of Department to ensure swift resolution.
· Post-Submission Follow-Up: Track and monitor the status of submissions, handle any post-submission requests from the Immigration Department, and keep clients informed of updates.
Qualifications & Requirements
· Education: A Diploma or Bachelor’s Degree in Human Resources, Business Administration, or a related field.
· Experience: A minimum of 2 years of experience in Malaysia Immigration visa processing. Business licensing experience is not mandatory but an added advantage.
· Technical Skills: Well-versed in Malaysia Immigration ESD, MDEC, and MIDA work permit applications and processes.
· Communication: Strong command of English and Bahasa Malaysia, both written and spoken.
· Technical Proficiency: Proficient in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint). Familiarity with data-entry systems and database management.
· Detail-Oriented: Meticulous in document preparation and data management, with excellent problem-solving skills.
· Organizational Skills: Strong time management skills and the ability to handle multiple tasks simultaneously in a fast-paced environment.
· Team Player: Able to work independently and collaboratively within a team, demonstrating a proactive and solution-driven approach.
· Professionalism: Maintain a high standard of professionalism and customer service when interacting with clients and stakeholders.
· Experience in Sarawak & Sabah Immigration work permit applications and processes is an added advantage
Work Arrangements
- Location: Office-based in Kuala Lumpur, Malaysia.
- Working Hours:
- Monday to Thursday: 9:00 am – 6:00 pm
- Friday: 9:00 am – 5:30 pm

Salary Range
