Assistant Executive, Human Resources
Job description:
1. Daily Checking of Ticketing System and Copying Latest Updates:
- Check the ticketing system on a daily basis and copy the latest updates to Microsoft Teams group including IHD, EWD, P&E, and Borneo.
2. Responding to Non-Payroll Related Matters in Ticketing System:
- Respond to non-payroll related matters in the ticketing system via Microsoft Teams, such as resignation and contract-related queries.
3. Preparing Appointment Letters for New Joiners:
- Prepare appointment letters for new joiners, specifically for Grade D employees in AISB and AMSB.
4. Processing New Joiners' Job Application Forms:
- Print out new joiner's job application forms and perform thorough checking in GreatDay employee’s personal, shift, leave types and complete data entry for insurance date, bank account and payroll master data for AISB and AMSB.
6. Passing New Joiners' Job Application Forms to PIC for Verification:
- After completing the checking process in GreatDay, pass the new joiner's job application form to the designated PIC for final verification.
7. Completing Data Entry and Updates for SOCSO Portal Assist and CP22 Form:
- Complete the data entry and updates for the SOCSO Portal Assist and CP22 form for new joiners in AMSB and AISB.
11. Coordinating with Merchantrade Personnel for the Registration Process of New Accounts:
12. Renewing CIDB Cards:
- Renew CIDB cards as required.
13. Maintaining P-Files:
- Maintain hardcopy P-files and digitize them by scanning all the P-files and saving them in the HRA share folder.
14. Assisting in GreatDay System Data Entry and Migration:
- Perform ad-hoc tasks, such as assisting in the data entry and migration process in the GreatDay system as directed by the PIC.
15. Assisting in Document Control and Medical Card Distribution:
- Assist in the original document control from site and HQ and distribute new Medical Cards.
16. Distribute monthly employees list.
17. Migrate/enter latest personal details of employees, such as their ethnicity, residence, contact number, email, dependent’s information, etc., into the GreatDay system.
Job requirements:
- Candidate should possess at least a Diploma/Degree in Human Resource Management, Business Management, Business Administration or equivalent.
- Minimum 1-3 year(s) of working experience in HR related field, experience in construction industry is an added advantage.
- Fresh graduate is welcomed to apply.
- Well-organized, good in coordination, meticulous and detailed oriented with strong verbal and written communication skills
- Able to multitask while maintaining attention to detail and meeting deadlines.
- Must be willing to work in Kota Damansara, Petaling Jaya.
