Jobs & Responsibilities:
- Arrange for medical check-up, accommodation, transportation and banking etc.
- Conduct inspection on accommodation and ensure subsequent rectifications are accomplished.
- Handle recruitment, quota by KDN, renewal of work permits, licenses and passports.
- Liaise with governmental bodies and embassies pertaining to all Foreign Workers matters.
- Verify and compute the general workers’ (KSK) payroll and claims.
- Monitor all renewal/expiry of contract employment.
- Ensure fulfilment of pre-training requisition
- Training registration and payment arrangement.
- Follow up on certificates, post-training evaluation forms and training materials.
- Ensure smooth execution of training needs in accordance with the approved annual training plan and coordinate the achievement of IMS training objective.
- Ensure that training records are filed and maintained in accordance with IMS requirement.
- Administer HRDF fund, grant and claim.
- Facilitate internal training.
- Job posting and filtering job applications
- Interview arrangement and reference check.
- Arrange work required medical check-up (if any).
- Prepare the documentation/items/allocation for new hire.
- Conduct induction program and office tour.
- Update the HR system.
- Ensure signed HR documents are in place.
- Monitor and follow-up for all probationary staff monthly appraisal reviews until the new hire is confirmed.
- Employee welfare arrangement including arranging for any company event, welfare entitlement, insurance and medical related.
- Ensure monitoring and reporting of attendance.
- Leave application record management.
- Conduct staff counselling (for executive and below).
- Assist in misconduct investigation.
- Performance appraisal exercise (for executive position and below).
- Ensure smooth and safe daily operation.
- Ensure sufficiency on supply of stationery, uniform and office necessities.
- Compliance with rules and regulation of IMS, legal, company and HR policies.
- IMS matters and audit for certification / SIRIM / Report / Communication / until end of closing of NCR (both internal and external audit)
- Organize Company events, trips, meetings, and trainings etc.
- Assist other Managers/Heads of Department as and when required and any other related assignments from time to time.
Qualifications:
- Candidate must possess at least a Professional Certificate or Diploma or Bachelor’s Degree in Human Resource Management / Business Studies / Administration or equivalent.
- At least five (5) years working experience in similar position or related working experience.
- Understanding of relevant Acts, legal demands and ethical standards.
- Proficient in Microsoft office application such as power point / excel / word and etc.
- Excellent communication and interpersonal skills and negotiation abilities.
- Strong organizational and time-management skills.
- Well versed with Bahasa Malaysia and the English language.
- Effective Reporting and Decision-Making Abilities.
- Can handle pressure well.
- Must have strict confidentiality towards HR information and job related tasks.
