Administrative Duties:
- Manage day-to-day office operations, ensuring smooth workflow and compliance with organizational policies.
- Oversee correspondence, documentation, and record-keeping, including preparing and submitting reports to relevant government agencies.
- Handle foreign worker management, including permit renewals, visa applications, and liaising with immigration authorities and other regulatory bodies.
- Maintain accurate and up-to-date employee records, ensuring compliance with labor laws and regulations.
Accounts and Finance Duties:
- Process and manage accounts payable and receivable, including preparing invoices, payment vouchers, and receipts.
- Assist in payroll processing, including deductions for foreign workers' levies, taxes, and contributions.
- Reconcile bank statements and monitor financial transactions to ensure accuracy and accountability.
- Prepare financial reports, budgets, and cash flow statements for management review.
ePerolehan System Management:
- Administer and manage procurement processes via the ePerolehan platform, including vendor registration, tender submissions, and purchase orders.
- Ensure all procurement activities comply with government policies and procedures.
- Coordinate with suppliers and service providers to ensure timely delivery of goods and services.
Coordination with Government Agencies:
- Serve as the primary liaison with government agencies, including immigration, labor departments, and procurement bodies.
- Ensure compliance with all government regulations regarding foreign workers, procurement, and financial reporting.
- Handle renewals, registrations, and audits as required by relevant authorities.
General Support:
- Provide administrative support to other departments as needed.
- Manage office supplies and inventory, ensuring adequate stock levels.
- Handle ad hoc tasks and projects as assigned by management.
Key Skills and Requirements:
- Proficiency in ePerolehan and other electronic procurement systems.
- Knowledge of foreign worker management processes and government regulations.
- Strong accounting and bookkeeping skills, including familiarity with accounting software (SQL).
- Excellent communication and organizational skills.
- Ability to work independently and prioritize tasks effectively.
- Minimum 1 years of experience in a similar role.
- Educational qualifications: Diploma or degree in Business Administration, Accounting, or a related field is preferred.
