Job Title: Procurement Responsible Sourcing Specialist

Location: Kuala Lumpur, Malaysia

Employment Type: Full-time

The job

The role will support AVEVA's Environmental, Social and Governance (ESG) efforts primarily in the Responsible Sourcing Program and will be reporting into the Procurement team under Finance.

Roles and Responsibilities

  • Assist in executing processes to verify suppliers’ compliance with AVEVA’s (the Code) including through self-assessment questionnaires and audits.

  • Support engagement and remediation efforts with suppliers who are out of compliance with AVEVA's Code, supporting on the development and fulfilment of corrective action plans.

  • Support to track overall progress (KPIs, dashboard and action plans) for achieving enterprise-wide goals associated with responsible sourcing.

  • Support in building the capacity of the AVEVA Procurement function and key buyers from across the business on responsible sourcing, creating education trainings, communication materials and resources as needed.

  • Supporting AVEVA’s 3rd party supplier due diligence process, including background screenings and reputational due diligence efforts

  • Reviewing responsible sourcing compliance and conformance procedures, recommending modifications where appropriate

  • Help prepare regular updates and reports on responsible sourcing activities, supplier issues, and engagement outcomes.

  • Providing timely updates to key stakeholders on ESG related supplier risk evaluations

  • Supporting resolution of ESG related issues raised through the due diligence process escalations

  • Supporting supplier audits and reporting (related to compliance responsibilities) through the supplier risk ranking process

  • Supporting Procurement to monitor and reinforce compliance to internal due diligence policies and procedures

  • Supporting Procurement to encourage suppliers’ compliance to AVEVA applicable compliance policies and procedures

  • Maintaining effective communication with internal customers / functional stakeholders.

  • Driving supplier accountability through both partnership and enforcement of corrective actions

Key relationships

  • The role will report to Procurement VP

  • This role will work closely with the Responsible Sourcing Analyst to ensure alignment and effective execution of responsible sourcing initiatives

  • Key relationships will include:

    • Members of Global Procurement unit

    • Members of Finance, Legal Procurement and Compliance, and Sustainability units

    • Global Process Owner – Procure to Pay (GPO P2P)

    • Senior members from other business units

Requirements

  • Experience with supplier due diligence process standardisation within a large, multi-layered, global organisation

  • Design and manage supplier surveys, drafting communication templates, newsletters, and updates to drive supplier engagement around responsible sourcing objectives, with guidance from senior team members

  • Knowledge of Environmental, Social and Governance (ESG) frameworks and tools related to responsible sourcing and third-party supplier management, including but not limited to the

    • UN Guiding Principles on Business and Human Rights,

    • OECD Due Diligence Guidance for Responsible Business Conduct,

    • Responsible Business Alliance standards,

    • EcoVadis and CDP Supply Chain questionnaires

    • Basic knowledge on GHG Protocol, SBTi Net-Zero Corporate Standard, Supply Chain Decarbonisation is a plus.

  • Comfortable working with large volume of data

  • Experience working with diversified pool of suppliers

  • Experience with transformational programmes beneficial

  • Familiar with Procure-To-Pay process within ERP system

  • Proficiency in tools like Power BI, Microsoft Power Automate, and Excel for data visualization and workflow automation is a plus

  • Positive attitude and comfortable managing ambiguity

  • An ability to think innovatively and creatively when faced with difficult situations

  • Challenging style, able to deal confidently with objections and difficulties

  • Excellent stakeholder management and presentation skills

  • Excellent communication in English, both written and verbal

  • Strong personal resilience

  • Experience of Oracle Fusion, SAP, Vendor Master Data, Amber Road

  • Understanding of IT interaction between process and related systems

  • A strong procurement background with additional supply chain and responsible sourcing related experiences

  • University Degree

  • CIPS or APICS certification is a plus
